Job Description

The Project Specialist is a key operational and administrative partner within Con Edisons General Litigation Department, providing advanced support for outside counsel management, litigation operations, reporting, and executive-level administrative functions. This role serves as a central coordination point for the transfer and administration of litigation matters handled by outside counsel, the management of critical legal workflows and systems, the preparation of litigation and settlement-related documentation, and the development of reports, metrics, and presentations for senior legal leadership.

This is a hands-on position requiring strong judgment, confidentiality, organizational skill, and the ability to manage multiple complex workflows with minimal supervision. The Project Specialist will work closely with the Associate General Counsel, Assistant General Counsels, internal attorneys, outside counsel, and other stakeholders to ensure that litigation matters are handled efficiently, accurately, and in alignment with Law Department procedures and company objectives. The role also supports General Litigations Outside Counsel Program and serves as a subject matter resource for related processes.

Responsibilities

Core Responsibilities
  • Serve as an administrator and subject matter resource for General Litigations Outside Counsel Program and related litigation processes.
  • Coordinate the physical and electronic transfer of litigation files to outside counsel, including insurance takeovers and general litigation matters, and ensure transfers are handled accurately, timely, and in accordance with Law Department procedures
  • Draft and prepare retainer agreements, substitutions of attorney, consents to change attorney, conflict waivers, and other related legal and administrative documents required for the engagement and transition of matters to outside counsel.
  • Manage and assign non-party subpoenas and other subpoena-related workflows in accordance with department procedures.
  • Assist with the regular reporting on Law Department accruals and support related financial and operational tracking.
  • Provide high-level administrative and operational support to the Associate General Counsel and attorneys in General Litigation.
  • Schedule and organize General Litigations annual all-day CLE program.
  • Manage litigation and insurance metrics in coordination with senior legal leadership and Insurance Counsel.
  • Ensure legal documentation related to transferred cases and settlements is complete, accurate, and properly maintained.
  • Perform other related duties and special assignments as needed.

Required Education/Experience

Relevant Work Experience
  • Experience managing litigation-related workflows, case transfers, and legal documentation, required.
  • Strong analytical skills, including the ability to gather, interpret, and present financial, operational, and litigation-related data, required.
  • Advanced proficiency in Microsoft Office applications, including Excel, PowerPoint, and Word, and experience using SharePoint, OneDrive, and databases or legal matter management systems, required.
  • Excellent organizational skills, attention to detail, proofreading ability, and command of spelling and grammar, required.
  • Strong written and verbal communication skills and the ability to interact effectively with attorneys, senior leadership, outside counsel, and cross-functional partners, required.
  • Proven ability to manage competing priorities, meet deadlines, and coordinate multiple stakeholders effectively, required.
  • Experience in a corporate legal department, litigation group, law firm operations, or legal vendor management environment, preferred.
  • Familiarity with outside counsel guidelines, rate structures, legal billing compliance, and matter budgeting, preferred.
  • Experience with e-billing and matter management systems such as Legal Tracker, TeamConnect, Brightflag, Litify, Law Manager, or similar platforms, preferred.
