Position Overview Varmoda is seeking a Grants Management Contractor & Implementation Specialist to support a public-sector client with the design, implementation, and optimization of grants management processes and software solutions. This contract role will provide strategic guidance and hands-on support for a pilot Grants Management platform implementation, with the goal of migrating agency grant activities into a centralized system. The selected consultant will serve as a subject matter expert on grants management best practices, federal compliance requirements, business process improvement, and technology-enabled workflow modernization.
Key Responsibilities - Provide expert guidance and implementation support for a pilot Grants Management platform deployment.
- Assess current grant lifecycle processes and collaborate with subject matter experts to align workflows with system capabilities.
- Configure and implement business processes within grants management software platforms.
- Advise on best practices and operational efficiencies related to grant applications, reviews, contract agreements, and program administration.
- Evaluate and improve processes for grantee invoicing, grant accounting, reporting, expenditure monitoring, and grant closeout activities.
- Partner with agency staff and software vendors to improve workflows, system adoption, and operational effectiveness.
- Develop workflow diagrams, field dictionaries, training materials, and supporting documentation for system and process changes.
- Document decisions, obtain stakeholder approvals, support policy and procedure updates, and provide regular status reporting with risk and issue tracking.
Required Qualifications - Minimum 10 years of experience managing the full grants management process lifecycle.
- Minimum 10 years of experience implementing and managing enterprise-grade grants management software solutions.
- Minimum 5 years of experience working within or supporting public-sector organizations at the local, state, or federal level.
- Minimum 10 years of experience in grant accounting, budgeting, and reporting.
- Minimum 15 years of experience in process improvement, change management, and project management.
- Minimum 10 years of experience applying industry best practices to policies, procedures, and operational workflows.
- Minimum 10 years of demonstrated ability to adapt business operations and processes to new systems and technologies.
- Minimum 15 years of professional oral and written communication experience.
Preferred Qualifications - Experience with WebGrants, Salesforce, or similar grants management platforms.
- Knowledge of Virginia-specific government systems, including Cardinal.
- Familiarity with Virginia procurement requirements and public-sector contracting processes.
- Experience supporting federal grant programs and Federal Uniform Guidance requirements.
- Experience working with multi-year capital improvement programs.
- Background collaborating with cross-functional teams in government or public-sector environments.
- Experience developing training materials and supporting organizational change initiatives.
- Strong stakeholder engagement, facilitation, and problem-solving skills.
- Self-motivated, detail-oriented professional with the ability to manage competing priorities.
