As Sr Project Manager, you'll guide successful execution of important initiatives across functions, ensuring timely delivery, risk mitigation, and stakeholder alignment. You'll manage multiple high-priority projects simultaneously, coordinating cross-functional teams through the complete project lifecycle while maintaining focus on business objectives and quality standards. Your expertise will be instrumental in implementing process improvements, new technologies, and transformational changes that enhance operational efficiency and customer success.

Administrative Project Management Focus

Position Summary

The Project Manager - Large Projects is responsible for the administrative coordination, governance, documentation, tracking, and reporting required to support large, complex projects. This role ensures that project information is organized, timelines are visible, actions are tracked, risks and issues are documented, and stakeholders have accurate information to support decision-making.

This role does not own solution design, deployment strategy, customer adoption, operational readiness, or business execution. Instead, the Project Manager provides the structure, cadence, documentation, and administrative discipline needed to keep large projects organized and transparent.

This is an individual contributor role that works closely with project sponsors, workstream owners, Solution Deployment Leaders, commercial teams, operations, finance, legal, quality, supply chain, digital, and other stakeholders.

Key Responsibilities:

Project Administration and Coordination
  • Maintain project plans, timelines, milestones, action trackers, decision logs, risk logs, issue logs, and dependency trackers.
  • Coordinate project meetings, governance forums, steering committee reviews, and stakeholder update sessions.
  • Prepare meeting agendas, capture minutes, document decisions, and follow up on assigned actions.
  • Ensure project documentation is complete, current, organized, and accessible to appropriate stakeholders.
  • Support consistent use of project templates, tools, trackers, and reporting formats.


Governance Support
  • Support project governance by maintaining meeting cadence, escalation records, approval documentation, and decision history.
  • Track required approvals, sign-offs, stage gates, and governance checkpoints.
  • Ensure project sponsors and workstream owners have accurate information for reviews and decisions.
  • Maintain visibility to open decisions, overdue actions, unresolved issues, and upcoming milestones.
  • Help ensure governance processes are followed consistently across large projects.


Timeline and Milestone Tracking
  • Maintain the master project timeline based on input from workstream owners and accountable business leads.
  • Track progress against milestones, deliverables, and agreed due dates.
  • Identify and flag timeline variances, overdue items, and dependency gaps for review by accountable owners.
  • Consolidate updates from multiple workstreams into a single project view.
  • Support visibility to critical path items without owning execution of the underlying work.


Reporting and Communication Support
  • Prepare project status reports, dashboards, executive summaries, and stakeholder updates.
  • Consolidate inputs from workstream owners, deployment leaders, finance, operations, commercial teams, and other functions.
  • Ensure project reports clearly reflect status, milestones, risks, issues, decisions needed, and next steps.
  • Maintain accurate records of project communications and leadership updates.
  • Support consistent and timely information flow across project stakeholders.


Risk, Issue, and Action Tracking
  • Maintain risk, issue, action, and dependency logs.
  • Document risk descriptions, issue status, owners, target dates, mitigation updates, and escalation history.
  • Follow up with accountable owners to obtain updates and closure status.
  • Flag overdue actions, unresolved issues, or missing information to project sponsors or designated leads.
  • Support escalation documentation but does not own resolution of technical, operational, commercial, or deployment issues.


Budget and Resource Administration
  • Track project budget information, purchase orders, invoices, resource assumptions, and financial updates as directed by finance or project sponsors.
  • Consolidate budget and resource inputs for project reporting.
  • Maintain documentation related to project spend, approvals, forecasts, and financial decisions.
  • Support administrative coordination of vendor documentation, contracts, statements of work, and related records.
  • Flag missing financial information, pending approvals, or budget variances for review by accountable owners.


Documentation and Records Management
  • Maintain organized project repositories, files, version control, and document naming standards.
  • Ensure key project documents, approvals, meeting records, reports, and governance materials are stored appropriately.
  • Support audit readiness by maintaining clear records of decisions, approvals, risks, changes, and status updates.
  • Capture lessons learned and archive project materials at project close.
  • Support continuous improvement of project administration tools, templates, and documentation practices.


Required Qualifications
  • Bachelor's degree in business, operations, project management, life sciences, engineering, or related field preferred.
  • Experience supporting large projects, complex initiatives, project management offices, commercial operations, business operations, or administrative project coordination.
  • Strong skills in project documentation, meeting coordination, status reporting, action tracking, and records management.
  • Ability to consolidate information from multiple stakeholders into clear, accurate project updates.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple deadlines, documents, trackers, and reporting cycles.
  • Strong written and verbal communication skills.
  • Proficiency with project management, collaboration, reporting, and productivity tools.
  • Ability to work in a matrixed organization and follow up with stakeholders across functions and levels.


Preferred Qualifications
  • Experience supporting large customer, commercial, operational, supply chain, digital, or transformation projects.
  • Experience in life sciences, pharmaceutical, biopharma, healthcare, diagnostics, laboratory, manufacturing, or regulated environments.
  • Familiarity with project governance, PMO practices, stage-gate processes, and executive reporting.
  • Experience with tools such as Microsoft Project, Smartsheet, Excel, PowerPoint, SharePoint, Teams, Power BI, CRM, ERP, or similar platforms.
  • Understanding of budget tracking, purchase order processes, vendor documentation, or contract administration.
  • Project management certification or training preferred but not required.

Scope and Impact

The Project Manager - Large Projects is an individual contributor role focused on the administrative management of large, complex projects. The role supports project transparency, governance discipline, documentation quality, leadership visibility, and timely follow-up.

The role does not own solution deployment, customer adoption, operational readiness, business execution, technical solution design, or commercial strategy. Accountability for those activities remains with designated business owners, Solution Deployment Leaders, Solution Architects, commercial leaders, and functional teams.

Travel Requirements

Limited travel may be required for project meetings, governance sessions, workshops, or site-based coordination.

Compensation and Benefits
The salary range estimated for this position based in California is $112,500.00-$168,500.00.
