The Project Manager is responsible for planning, coordinating, and executing assigned projects that support organizational and departmental objectives. This position also provides administrative and financial coordination for the Information Services department, including assisting with invoice processing and maintaining accurate project and departmental budget tracking spreadsheets. The position works with project sponsors, operational leaders, technical teams, vendors, Finance, and other stakeholders to define project scope, establish plans, manage risks and issues, monitor progress, and support successful project outcomes. The Project Manager applies established project management tools and methodologies, facilitates effective communication and decision-making, and promotes collaboration across the organization.
PRIMARY RESPONSIBILITIES OF THE POSITION:
• Manages assigned projects from initiation through completion using established project management standards, tools, templates, and governance processes.
• Works with project sponsors and stakeholders to define project goals, scope, objectives, deliverables, constraints, timelines, resource needs, and success measures.
• Develops and maintains project charters, work plans, schedules, status reports, decision logs, risk and issue logs, communication plans, and other required project documentation.
• Coordinates project activities, milestones, dependencies, and deliverables across operational, clinical, technical, and vendor teams.
• Facilitates project meetings, documents decisions and action items, assigns follow-up responsibilities, and monitors completion of commitments.
• Monitors project scope, schedule, budget, resources, risks, and issues and escalates concerns and decisions in a timely manner.
• Supports change control processes and evaluates the impact of proposed changes to project scope, schedule, budget, resources, and expected outcomes.
• Provides clear, concise, and timely project communications to sponsors, leadership, team members, and other stakeholders.
• Coordinates with vendors and internal stakeholders to support contracting, implementation planning, testing, training, deployment, and transition to operational ownership.
• Assists with processing and tracking Information Services invoices, including validating supporting documentation, coordinating approvals, resolving discrepancies, and monitoring invoice status with department leaders, vendors, Accounts Payable, and Finance.
• Maintains the department's running budget spreadsheet and related financial tracking tools, ensuring purchase orders, invoices, payments, commitments, budget adjustments, and forecast information are recorded accurately and kept current.
• Supports routine reconciliation of invoices, purchase orders, contracts, and budget records; identifies variances or missing information and escalates issues requiring leadership or Finance review.
• Prepares budget and invoice status information for leadership review and maintains organized financial documentation in accordance with department processes and organizational requirements.
• Supports organizational change management activities, including stakeholder engagement, readiness planning, communication, training coordination, and adoption tracking.
• Ensures project work and documentation comply with established policies, procedures, regulatory and accreditation requirements, and applicable professional standards.
• Contributes to the ongoing improvement of project management tools, templates, methodologies, reporting, and best practices.
EDUCATION AND EXPERIENCE REQUIREMENT(S):
Required
• Bachelor's degree in Business Administration, Information Technology, Healthcare Administration, or a related field, or an equivalent combination of education and relevant experience.
• Two or more years of experience coordinating or managing projects, preferably in healthcare, information technology, business operations, or a related environment.
• Demonstrated ability to organize work, manage priorities, communicate with stakeholders, and track project scope, schedule, risks, issues, and deliverables.
Highly Preferred
• Project Management Professional (PMP), Certified Associate in Project Management (CAPM), Agile, Lean, or Six Sigma certification.
• Experience with invoice processing, purchase order tracking, budget spreadsheets, or financial reconciliation.
• Experience supporting technology, clinical, operational, construction, or enterprise-wide projects in a regulated environment.
Salary Range: $31.50-$47.26 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the state.
