The Project Manager (PMIS) plays a central role in supporting the Design & Construction (D&C) Department's mission to deliver capital and renovation projects efficiently, transparently, and in compliance with institutional financial and operational standards. This special Project Management role safeguards operational continuity, ensuring system stability across all active projects while reducing dependency on leadership intervention.

Reporting to the Director of Supply Chain and Finance for Design and Construction, this position is responsible for managing and coordinating the financial modules within Procore, supporting 5-year cash flow planning, conducting bid leveling support, and bridging integration between Procore, Strata, and Infor. The Coordinator will serve as a key liaison between Financial Analysts, Project Managers, the Contracts Analyst, and IT teams to ensure all project financial data is accurate, timely, and aligned with enterprise reporting needs.

Core Responsibilities:

1. Procore PMIS Program & Financial Management

  •  Serve as the departmental Procore Financials Coordinator, configuring and managing budget, contract, commitment, change event, and invoice tracking modules.
  •  Coordinate the development of project financial dashboards and reports for leadership, ensuring accuracy across real-time    metrics and legacy systems.
  •  Identify and help resolve system inconsistencies and support process improvements within the Procore platform.

2. Cash Flow Planning & Financial Forecasting

  •  Develop and maintain 5-year capital and renovation cash flow projections, consolidating data from Procore, Strata, and Infor to support institutional planning and decision-making.
  •  Collaborate with senior leaders to align cash flow forecasts with strategic capital priorities, funding allocations, and project pipelines.
  • Support financial scenario modeling for project phasing, deferred work, and budget realignment needs.

3. Bid Leveling & Proposal Evaluation Support

  •  Assist Project Managers in the development and review of bid leveling sheets, ensuring accurate comparison of vendor proposals including base scope, alternates, unit pricing, and exclusions.
  •  Upload and organize vendor proposals and related documentation in Procore, maintaining consistent file structure and naming conventions.
  •  Provide administrative and financial support during bid evaluations, helping to flag discrepancies or incomplete data for follow-up.
  •  Work in close coordination with the Contracts Analyst by using Procore to review bid documents, organize attachments, and ensure appropriate materials are available for award consideration.

4. Contract Administration Support via Procore

  •  Support the contract lifecycle process in Procore by tracking contract uploads, change orders, insurance documents, and compliance attachments.
  •  Collaborate with the Contracts Coordinator, Legal, and Compliance teams to ensure contract workflows are followed.
  •  Maintain document version control and assist with routing financial and legal documentation for approvals and execution.

5. System Integration & Data Governance

  •  Partner with the Financial Systems and IT Teams to manage data integration between Procore, Strata, and Infor, ensuring data fidelity and eliminating duplication of effort.
  •  Monitor and troubleshoot system syncs, identifying gaps in reporting logic and ensuring seamless data flow across platforms.
  •  Contribute to the refinement of data governance practices related to project coding, invoice tagging, and funding sources.

6. Change Order Coordination & Financial Controls

  •  Utilize Procore’s Change Events and Budget tools to track scope adjustments, pending approvals, and financial impacts.
  •  Collaborate with Project Managers and Financial Analysts to validate cost impacts, funding coverage, and forecast implications.
  •  Assist in the development of internal controls for change management documentation, ensuring audit readiness and transparency.

Required Qualifications:

  • Bachelor’s degree in Construction Management, Finance, Business, Accounting, or a related field.
  • Minimum of 5 years of experience in construction project management and financial controls, project reporting, and/or enterprise-level project management systems.
  • Advanced proficiency in Procore, with specific expertise in financial tools (Budget, Commitment, Change Events, Invoicing).
  • Experience using and integrating data across Infor and Strata platforms is strongly preferred.
  • Proven ability to develop cash flow models, budget variance reports, and system-integrated financial dashboards.
  • Strong command of Microsoft Excel (pivot tables, advanced formulas, conditional formatting, etc.) and data reconciliation best practices.
  • Highly organized, deadline-driven, and proactive with excellent written and verbal communication skills.
  • Ability to work independently while coordinating with multi-disciplinary teams across Finance, Construction, IT, and Legal.

Preferred Attributes:

  • Experience supporting construction or facilities projects within a healthcare, academic, or institutional environment.
  • Familiarity with project award processes, procurement memo writing, and documentation standards (AIA contracts, bid packages, COIs, etc.).
