This role is responsible for establishing and maintaining development and approval workflows, program calendars, required documentation, readiness plans, and program health tracking. The individual will coordinate leadership reviews, manage follow-through on decisions, maintain program documentation, support team communications, oversee logistics, archive best practices, and provide recurring program performance reporting.
Key Responsibilities Program Governance & Process Management - Facilitate programs through established development and approval processes from initiation through completion.
- Schedule and lead feasibility and milestone reviews, ensuring materials are prepared and presented at required approval stages.
- Coordinate executive and leadership review meetings and track actions through closure.
- Publish and maintain workflow documentation, including required artifacts, responsibilities, and timelines.
- Track active projects and provide recurring status updates against program deliverables and schedules.
- Facilitate archiving and sharing of strategic and experience-related documentation.
Program Timing & Calendar Management - Partner with cross-functional teams to execute program calendars and recommend schedule adjustments as needed.
- Publish and maintain property and resource planning activities.
- Track leadership reviews and proactively identify readiness requirements, including materials, properties, locations, and presentation needs.
- Maintain weekly program health reporting and status tracking across active programs.
Program Documentation & Tracking - Create and maintain property plans, release plans, program summaries, and approval trackers.
- Develop, document, share, and archive best practices related to design and product development processes.
- Maintain accurate program records and support a centralized source of project information.
Executive & Leadership Review Support - Develop agendas in partnership with leadership stakeholders for recurring review meetings.
- Ensure materials, properties, and logistics are prepared and coordinated for leadership reviews.
- Capture meeting notes, distribute action items, and track follow-up activities through completion.
Cross-Functional Coordination - Serve as a liaison across design, digital product design, product development, engineering, product management, research, advanced engineering, technology, strategy, operations, and external partners.
- Maintain consistent communication across stakeholders to ensure alignment on program objectives and deliverables.
- Support resource prioritization and coordination across multiple teams and workstreams.
- Track collaboration across functional groups and ensure alignment throughout the development process.
- Identify, communicate, and track dependencies and risks to support timely delivery of program objectives.
Team Communications & Operations - Manage recurring staff meetings, including agenda development, facilitation, and follow-up actions.
- Maintain and manage team project calendars.
- Communicate critical program and team updates to stakeholders.
Required Qualifications - Experience managing cross-functional programs and coordinating multiple stakeholders.
- Experience supporting program governance, development processes, and approval workflows.
- Strong program planning, scheduling, tracking, and reporting capabilities.
