Summary of Position:

This role owns the coordination and management of Costco-specific programs across item setup, roadshows, and pallet initiatives. Serves as the internal hub that connects Sales, Operations, Marketing, and Supply Chain to deliver strategically important retail partnerships.

The Project Manager will build and manage cross-functional timelines, drive accountability across teams, and ensure execution across Order Management, Logistics, Demand Planning, Creative Services, and Product. This person must bring Costco channel knowledge to navigate specialized requirements across packaging, pallet configuration, logistics, and compliance to avoid real operational and financial consequences.

Responsibilities:

Roadshow Management

  • Lead end-to-end coordination of Costco roadshow programs, managing all timelines and cross-functional deliverables from planning through execution
  • Own packaging forecasting to ensure sufficient inventory is available ahead of roadshow windows
  • Coordinate rework activities, including vendor scheduling, timeline management, and quality oversight
  • Manage inbound and outbound logistics for roadshow inventory, including carrier coordination and cost tracking
  • Optimize and manage returns processes post-roadshow, minimizing waste and maximizing recovery value

New Product Launches

  • Drive the new item setup process for Costco, ensuring all required data, documentation, and approvals are completed accurately and on time
  • Own the development and submission of item specifications and renderings in compliance with Costco's vendor standards
  • Manage pallet configuration specifications and renderings, coordinating with Logistics and Operations to validate compliance
  • Build and maintain detailed launch timelines, proactively identifying risks and driving cross-functional resolution
  • Coordinate Value-Added Services (VAS) timelines and deliverables, ensuring alignment between third-party partners and internal teams
  • Support NPD projects as needed

Cross-Functional Coordination & Execution

  • Serve as the primary internal point of contact for all Costco-specific operational programs, partnering closely with the Costco sales team
  • Build and maintain project trackers, status dashboards, and milestone calendars that provide visibility to leadership and cross-functional stakeholders
  • Facilitate regular cross-functional meetings, keeping teams aligned and accountable to deliverables
  • Identify and escalate risks proactively, recommending solutions before issues affect program timelines or retail execution. This includes escalating to cross functions leaders with a sense of urgency.
  • Continuously evaluate and improve processes to drive greater efficiency, accuracy, and scalability of the Costco business

Qualifications:

  • Experience in project management, sales operations, or supply chain experience, with direct exposure to Costco as a retail partner
  • Demonstrated understanding of Costco's vendor requirements, including packaging standards, pallet specifications, compliance protocols, and warehouse logistics
  • Proven ability to manage complex, cross-functional projects with multiple workstreams and tight deadlines
  • Exceptional organizational skills with strong attention to detail and a bias toward proactive communication
  • Proficiency in project management tools (e.g., Smartsheet, Asana, Microsoft Project, or equivalent) and Microsoft Office Suite
  • Strong interpersonal skills with the ability to influence and drive accountability without direct authority

  • Reports to the PMO Director
  • The team the position will work with, other departments and business partners
  • Any direct reports or dotted lines
