Overview

GovCIO is currently hiring a Project Coordinator to support the VHA Front Office product line within the Department of Veterans Affairs (VA) Office of Information and Technology (OIT). This role is a fully remote position within the United States. Core office hours are 8am – 5pm ET.

Responsibilities

The Project Coordinator will support a Product Manager within VHA Front Office product line by providing day-to-day operational coordination, maintaining situational awareness across product lines, and ensuring timely communication among VA stakeholders, Product Owners, and project leadership. This role is responsible for organizing project activities, facilitating information flow, supporting reporting requirements, and contributing to business metric collection that drives program visibility and decision-making. The ideal candidate must be an exceptional communicator and writer, capable of producing clear summaries, good news stories, and concise updates for internal and external audiences.

Key Responsibilities

  • Coordinate daily activities supporting VA Product Teams, including scheduling meetings, preparing agendas, confirming attendance, and tracking action items.
  • Serve as a central point of contact for collecting updates from stakeholders, POCs, and cross-functional teams.
  • Maintain strong situational awareness — understanding the program landscape, roles, titles, expectations, and appropriate communication channels.
  • Support multiple VHA Front Office products concurrently, prioritizing tasks effectively and adapting to shifting needs.
  • Assist with VA PARS reporting, including gathering data, validating inputs, and preparing submission packets.
  • Coordinate updates with ProductVA and ensure information is accurate, complete, and aligned with program guidance.
  • Collect and compile business metrics and operational indicators to support program management reviews and client reporting.
  • Summarize project progress, key meeting points, risks, blockers, and upcoming milestones in clear, digestible formats.
  • Draft high-quality written materials such as good news stories, project updates, talking points, and executive-level summaries.
  • Facilitate discussions, guide stakeholders through agenda topics, and ensure decisions and follow-ups are documented.
  • Demonstrate excellent customer service when interacting with VA clients, government counterparts, vendors, and internal teams.
  • Communicate professionally using correct titles, levels of formality, and audience-appropriate messaging.
  • Maintain organized tracking systems for deliverables, timelines, stakeholder updates, and recurring coordination responsibilities.
  • Manage version control, documentation libraries, and shared content repositories according to HTMS and GovCIO standards.
  • Ensure meeting minutes, action items, and follow-ups are captured, distributed, and tracked to completion.
  • Support program audits and compliance checks as needed.
Qualifications

Bachelor's with 10 years (or commensurate experience)
