Full Job Description
The Project Coordinator II (PC2) is a mid-level AMS team member responsible for guiding and overseeing junior team members, organization, documentation, support of projects assigned to them, as well as supporting Senior team members. The PC2 provides administrative and organizational support to project teams to ensure effective project coordination and clear communication among team members, clients, and stakeholders.

JOB QUALIFICATIONS:

  • Bachelor's degree from a 4-year college or university, or an equivalent combination of education and related experience.
  • Degree in Architecture, Engineering, and/or Construction Management preferred.
  • Minimum 3 years of construction and administration experience.
  • CMIT, CACM, or other related industry certification preferred.
  • Knowledge of industry standards for construction documentation and processes.
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize tasks, work proactively, and consistently meet deadlines.
  • Ability to read, interpret, and understand construction drawings, plans, and specifications preferred.
  • Knowledge of building, project site systems, and construction methods preferred.
  • Excellent customer service skills; able to effectively support internal and external clients.

ESSENTIAL JOB FUNCTIONS:

  • Ensure contractor compliance with contract documents and requirements.
  • Know the client's contract requirements.
  • Document construction activities.
  • Manage processing of Requests for Information (RFIs), submittals, Change Orders, invoices, photo documentation, and daily reports.
  • Review Project Inspector Daily Reports and project photos.
  • Conduct weekly progress (OAC) meetings, including writing meeting minutes.
  • Review contractor's overall CPM schedule for contract compliance.
  • Review contractor's schedule of values in conjunction with their overall CPM schedule.
  • Mentor and support less-experienced team members through coaching, training, and guidance.
  • Resolve construction issues through jobsite visits and communication with the contractor and client.
  • Serve as the central point of contact for project communications among team members and clients.
  • Review project documents, including plans and specifications.
  • Identify potential issues and resolve them.
  • Coordinate project start-up, including reviewing commencement documents and facilitating the pre-construction meeting.
  • Coordinate project closeout and schedule final inspections upon verifying substantial completion.
  • Prepare and write up weekly and monthly reports; develop meeting agendas and minutes.
  • Direct and motivate staff engaged in planning and executing work procedures.
  • Coordinate and supervise project team and team members.
  • Assign tasks, communicate expectations, and ensure accountability across the project team.
  • Coordinate contractor, subcontractor, consultant, third-party entity activities.
  • Interpret specifications and company policies to staff and/or contractors; enforce safety regulations and address work-related issues, including complaints.
  • Perform project inspections/assessments regularly to confirm work conforms to specifications, budget, and schedule; initiate corrective actions and communicate status to the contractor, team, and client regularly.
  • Review contractor progress payments, negotiate and process.
  • Review monthly billings and cost estimating.
  • Organize and maintain project documentation, including contracts, drawings, specifications, and correspondence.
  • Ensure project files are up-to-date, well organized, and easily accessible.
  • Manage overall project correspondence, reports, documentation, and general administration.
  • Serve as backup to the Senior Project Coordinator, as needed.
  • Oversee Project Coordinator I staff.
  • Perform other duties as assigned.

SALARY RANGE: $75,000 - $100,000 per year depending on experience
