Subsidiary: KIRA Information SolutionsJob Title: Project Controls Coordinator (DPM) Job Location: GeorgiaLabor Category: ExemptClearance / Access: Worksite Access Badge Travel Requirement: 25%Pay: DOEWork Schedule: Full Time - 40 Hours Scope of Work:The Deputy Project Manager (DPM) supports the Program Manager in the successful execution of a multi-site Emergency Communication System (ECS) and Mass Notification System (MNS) modernization program. This position serves as a key coordination resource responsible for project planning, scheduling, financial tracking, vendor management, reporting, documentation control, and stakeholder communications.
Working as an operational extension of the Program Manager, the DPM assists in coordinating activities among customers, subcontractors, vendors, design teams, commissioning personnel, and internal stakeholders to ensure project milestones, budgets, schedules, and contract requirements are successfully achieved across geographically dispersed customer locations.
Responsibilities:- Support the Program Manager in the overall administration, management, and execution of contract requirements.
- Assist in planning, coordinating, tracking, and monitoring project activities, milestones, schedules, and deliverables.
- Support the development, maintenance, and analysis of integrated project schedules utilizing Primavera P6.
- Monitor project performance, schedule status, action items, risks, and critical path activities.
- Coordinate project execution across multiple sites, vendors, subcontractors, and stakeholders.
- Assist with project controls, cost management, budget tracking, and financial reporting activities.
- Review and track vendor invoices, government invoices, Schedule of Values (SOV), and project expenditures.
- Support subcontractor and vendor management activities, including procurement coordination, deliverable tracking, scheduling, and performance monitoring.
- Utilize Maximo and other project management systems to monitor work orders, project activities, asset information, and maintenance requirements.
- Maintain project documentation including meeting minutes, action item logs, requests for information (RFIs), submittals, design review packages, and closeout documentation.
- Prepare project status reports, executive briefings, dashboards, metrics, and customer presentations.
- Coordinate project meetings, scheduling reviews, stakeholder workshops, customer briefings, and technical discussions.
- Support construction, installation, testing, commissioning, training, and project closeout activities.
- Assist with project risk identification, assessment, and mitigation planning.
- Coordinate access requirements, travel arrangements, badging activities, and site visits.
- Serve as a liaison between customers, subcontractors, project teams, vendors, and company leadership.
- Provide backup support to the Program Manager when required.
- Support employee engagement activities, team-building initiatives, and project milestone events.
- Complete all required training within established timelines.
- Consistently deliver high-quality products, services, and customer support.
- Perform all work safely and in accordance with established policies, procedures, contract requirements, and company directives.
- Perform other duties as assigned.
Minimum Requirements:- Bachelor's degree in Project Management, Engineering, Construction Management, Business Administration, Information Technology, or a related field; equivalent experience considered.
- 5+ years of experience supporting project management, program management, project controls, construction management, or similar coordination roles; 7+ years preferred.
- Experience supporting complex federal, commercial, infrastructure, technology, construction, or modernization projects.
- Demonstrated experience coordinating geographically dispersed teams, subcontractors, and multiple stakeholders.
- Experience supporting vendor management, subcontract administration, and customer engagement activities.
- Experience supporting project schedules, budgets, action item tracking, risk management, and project reporting.
- Working knowledge of Primavera P6 scheduling software.
- Experience utilizing Maximo or comparable asset management, work order, or CMMS platforms.
- Strong organizational, communication, and document management skills.
- Federal contracting experience preferred.
- CAPM, PMP, PMI-SP, or other project management certification preferred.
- Experience supporting emergency communications, mass notification, fire alarm, life safety, construction, or critical infrastructure programs is highly desirable.
- Must be able to obtain and maintain required Government security or facility access credentials.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).
- Must possess and maintain a valid state driver's license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.
Physical Demands / Work Environment:- Must be able to conduct field visits, navigate active construction, laboratory, and operational environments, and work extended hours as required to support project requirements.
- Must be able to work on-call, alternate, and extended shift schedules when necessary to support testing events, commissioning activities, project milestones, and mission requirements, including weekends and holidays.
- Ability to communicate effectively in person, by phone/video meeting, and email.
