Job SummaryThe Agile Mission Systems (AMS) organization in San Diego is seeking a highly organized and proactive Project Administrator to support Project Engineering. This position will provide operational, planning, documentation, and coordination support to Programs and cross-functional engineering teams responsible for missionizing autonomous aircraft and integrating complex mission systems.
The successful candidate will help ensure that activities, program milestones, reviews, deliverables, meetings, and action items are effectively planned, tracked, documented, and communicated. The role requires strong attention to detail, sound judgment, excellent communication skills, and the ability to work effectively with engineering, program management, functional organizations, customers, and subcontractors.
DUTIES AND RESPONSIBILITIES:- Administers the daily operational aspects of one or more ongoing projects.
- Supports program leadership with project planning, schedule development, milestone tracking, and execution reporting.
- Performs procurement management, hardware assets tracking, and logistical support.
- Coordinates meetings, events, and customer engagements.
- Prepares meeting agendas, briefing materials, minutes, decision records, and follow-up communications.
- Maintains document repositories and ensures project records are accurate, current, properly organized, and accessible to authorized personnel.
- Supports the preparation and review of data packages, documentation, and customer deliverables.
- Monitors project status and develop reports, dashboards, and presentations for internal leadership and customer stakeholders.
- Supports project managers and engineering leads in identifying issues, coordinating resolutions, and elevating matters requiring management attention.
- Assists with subcontractor and external partner coordination, including meeting support, deliverable tracking, correspondence, and action-item management.
- Supports proposal activities, engineering estimates, basis-of-estimate development, and customer-directed response efforts.
- Coordinates travel, facilities, equipment, security requirements, and other administrative needs associated with program execution and technical events.
- May process improvement initiatives within Project Engineering or ongoing Programs.
- Provides guidance to support staff and less experienced personnel involved in project coordination and administration.
- Maintains strict confidentiality of sensitive, proprietary, export-controlled, and classified information.
- Performs other duties as assigned.
Job Qualifications- Typically requires a bachelors degree in Business Administration or a related discipline and ten or more years of progressive professional project administration experience. Equivalent professional experience may be substituted in lieu of education.
- A general understanding of project administration principles, planning, scheduling, coordination, and execution.
- Experience organizing and tracking work assignments to meet project milestones and established completion dates.
- The ability to quickly understand new concepts and apply them in a dynamic, evolving environment.
- Strong organizational skills and the ability to manage multiple priorities, deadlines, and stakeholders.
- Strong written and verbal communication skills, including the ability to accurately document program information.
- Effective interpersonal skills and the ability to work professionally with engineers, program managers, customers, and subcontractors.
- The ability to identify issues, analyze information, coordinate corrective actions, and determine when escalation is appropriate.
- Strong attention to detail and the ability to maintain accurate records and status information.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
- Experience with Microsoft Project, project scheduling tools, enterprise resource planning systems, or document management platforms is preferred.
- Familiarity with aerospace and defense programs, unmanned aircraft systems, mission systems, tactical data links, autonomy, or air dominance capabilities is a plus.
- Experience supporting programs involving classified or controlled information is preferred.
- The ability to obtain and maintain a Department of Defense security clearance is required.
