Role Purpose

The Programs Finance & Grants Specialist works within the U.S. Enterprise team and set of grants to bridge the gap between program strategy, funding acquisition, and financial compliance. Working closely with the U.S. Enterprise Co-Directors, this position ensures that programs are not only well-designed and impactful but also supported by the right funding and managed within budget and regulatory requirements.

Responsibilities

Relationship & Liaison Management
  • Manage administrative relationships with grantors/donors and lead in communication as it relates to administrative or contractual matters.
  • Serve as liaison between U.S. Enterprise and Alight's Platform Services, point of contact for Accounting during monthly, quarterly and annual budget meetings.
  • Work closely with Grants Management Unit on reviewing and signing donor agreements, processing sub-agreements, setting up new awards in relevant systems, including setting up grants folders, ensuring that budgets, billing codes, etc. are established etc.
  • Collaborate with Marketing and Engagement Team to monitor private donations designated for US Enterprise programs. Ensure team is notified when gifts are anticipated and received, and accurate coding and reporting structures are in place.
  • Within Alight, serve as main point of contact for all financial matters as relates to U.S. Enterprise.


Grant & Proposal Coordination
  • Manage grant reporting calendar for the U.S. Enterprise and lead in communication and reminders to team about upcoming reports.
  • Lead in coordinating and submitting governmental proposal submissions and governmental program narrative reports.
  • Lead in submitting financial reports to non-governmental donors.
  • Support Marketing and Engagement Manager in grant submissions and the financial and organizational pieces that are required for grant submissions.
  • Support U.S. Enterprise with developing proposal budgets and review all proposal budgets for financial soundness.


Financial & Budgetary Oversight
  • Monitor spending and burn rates across U.S. Enterprise's portfolio, including governmental and foundation grants and privately funded programs.
  • Coordinate monthly budget meetings with program managers and Co-Directors, where spending is tracked across projects and types of funding. Guide program team to support them in their project spending to ensure compliance with donor / grant terms.
  • Run grant Budget v Actual reports and general ledger reports as needed and monitor individual expenditures as it relates to various budgets. Review expenses for correct coding and monitoring prior to submission to accounting.
  • Support U.S. Enterprise Co-Directors in developing and managing the U.S. Enterprise's annual operating budget and financial forecasting.
  • Process Co-Directors' financial reconciliations expense reports and support teammates through financial reconciliation processes and procedures
  • Take the lead or, when needed work with Global procurement teams, to purchase equipment, supplies, gift cards, etc.
  • Leading in procuring and hiring vendors/contractors and ensure the proper paperwork has been collected, filed, and closed out.


Staffing, Operations & Strategic Support
  • Lead in managing and monitoring U.S. Enterprise staffing plan as it relates to the enterprise's financial resources. Manage staff billing codes and ensure communication with managers when time allocation adjusts

• At least 5 years of professional experience in grants management, nonprofit finance, or a closely related role, with demonstrated experience managing grant portfolios and working across program and finance functions.
• Detail-oriented, process-driven, and highly organized with a respect for numerical accuracy.
• Ability to manage competing priorities, work under pressure, and consistently meet deadlines.
• Highly motivated self-starter who thrives in a dynamic, mission-driven environment.
• Strong communication, collaboration, and interpersonal skills
• Proficient in Microsoft Office suite; advanced Excel skills a plus.
