Job Description

We are seeking a highly skilled and experienced Program Administrator to provide top-tier administrative and programmatic support to the HR Program Office. This role is critical in coordinating strategic initiatives, managing program logistics, and ensuring effective communication across stakeholders. The ideal candidate thrives in a fast-paced, global environment and has a proven track record of supporting senior leaders in the technology sector. Strong organizational, communication, and problem-solving skills in a dynamic environment are essential.

Key Responsibilities:
  • Deliver comprehensive administrative, operational and programmatic support to the CHRO and HR Program Office.
  • Manage complex calendars and schedule meetings across global time zones, ensuring alignment with program milestones.
  • Act as a liaison between the HR Program Office and internal/external stakeholders, maintaining professional, clear and timely communication.
  • Handle sensitive and confidential information with highest level of discretion and professionalism.
  • Organize and facilitate executive-level meetings, including agenda preparation, documentation, and follow-up tracking.
  • Support the execution of HR programs and initiatives by:
  • Coordinating cross-functional tasks and aligning with project timelines and deliverables.
  • Monitoring progress and preparing regular status updates for stakeholders.
  • Maintaining program documentation, resource libraries and communication for key initiatives.
  • Proactively identify and resolve administrative and operational challenges to ensure smooth program execution.
  • Assist in the development and rollout of HR programs, policies, and training initiatives.
  • Contribute to continuous improvement efforts within the HR Program Office.


Qualifications
  • Bachelor's degree in Business Administration, Human Resources, or a related field; advanced degree or certification in project management is a plus.
  • Proven experience (minimally 8 years) in executive support, program coordination, or project administration-preferably in a global technology or corporate environment.
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills, with a professional and diplomatic approach.
  • Proven ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
  • Experience with project management tools and methodologies.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
  • High level of attention to detail and commitment to quality.
