The Procure to Pay team within Microsoft are experts in compliant and accurate payments to Microsoft Suppliers and Partners. We leverage digital technologies and data-driven insights to streamline payment processes and influence business decisions.

As a Procure to Pay Engagement Manager, you will have deep understanding of the end-to-end Procure-to-Pay operations, ensuring alignment with business requirements and driving process efficiency. Acting as the liaison between procurement, finance, and IT, you will manage requisitioning, purchase orders, invoicing, and supplier collaboration. Your role includes influencing system enhancements, optimizing workflows, and providing guidance and training to stakeholders on P2P best practices.

Responsibilities

Process Governance & Documentation
  • Contributes to or leads a portfolio of projects, including project plans, documented roles and responsibilities (e.g., a responsible, accountable, consulted, informed [RACI] framework), timelines, milestones, financial management, performance metrics, and resource needs for complex programs. Communicates program status and risks to relevant stakeholders and holds them accountable for established schedules, risk mitigation plans, and processes.
  • Demonstrates an understanding of mapping or how systems work and impact one another. Works with and leverages other teams (e.g., Supply Chain, Engineering, Sales) to ensure program processes are rigorous and executed efficiently. Develops processes around scope and scheduled changes for programs and communicates them to stakeholders.
  • Monitor adherence to procurement policies and compliance requirements within P2P workflows.
  • Own and maintain Detailed Process Documents (DTPs) for all Ariba related P2P processes, ensuring timely updates to reflect system changes, compliance requirements, and best practices.
  • Implement controls to prevent errors and ensure audit readiness.
  • Oversees day-to-day operations of Business Process Outsourcing (BPO) partners, ensuring SLAs and KPIs are met and that contractor skills and capabilities align with Microsoft requirements.

Process Optimization & Mapping
  • Analyze current Procure to Pay Engagement Manager processes to identify inefficiencies and implement automation or simplification opportunities.
  • Ensure integration between P2P systems and ERP systems (e.g., SAP) is functioning correctly.
  • Uses process flow mapping, root-cause analysis, and scenario assessment to identify program issues, select appropriate solutions, simplify operations, and improve existing P2P programs using relevant methodologies and best practices.
  • Works with cross-functional stakeholders (e.g., Procurement, Finance, Engineering, and Supply Chain) to design security-, privacy-, and regulatory-compliant programs from initiation through delivery. Produces collateral (e.g., proposals, strategy decks, and stakeholder communications) that incorporates stakeholder needs and supports business objectives.

Stakeholder Engagement & Training
  • Collaborate with procurement, finance, and suppliers to resolve issues related to requisitions, purchase orders, and invoices.
  • Act as a subject matter expert for troubleshooting and process optimization.
  • Defines and executes landing and communication plans for target audiences, and maintains a regular rhythm of business (ROB) so stakeholders communicate, make decisions, and respond at the required cadence.
  • Supports change management by clarifying the vision and impact of changes, building stakeholder buy-in, developing enablement collateral, and identifying training or reskilling needs.

Reporting & Analytics
  • Defines and tracks success criteria (e.g., ROI, SLAs, OKRs, and KPIs) and performance metrics (e.g., quality, adoption, usage, impact, effectiveness, and customer feedback) using scorecards and dashboards to monitor programs and enable data-driven decision-making.
  • Conducts cost-benefit analyses to evaluate performance against value drivers (e.g., profit and loss [P&L] and return on investment [ROI]), contributes to monthly business reviews (MBRs), and provides actionable insights to leadership on cost savings, efficiency, and program improvements.

Continuous Improvement
  • Identifies opportunities to develop new programs and improve current ones by defining root problems, gathering requirements, aligning stakeholders, identifying resource needs, and establishing project plans and targets.
  • Uses data analytics and lessons learned to identify program risks and mitigation plans, streamline and optimize programs, and recommend sunsetting activities that no longer meet objectives.


Qualifications

Required/minimum qualifications
  • Bachelor's Degree in Business, Operations, Finance, or related field AND 4+ years experience in program management, process management, or process improvement OR equivalent experience.

Additional or preferred qualifications
  • 3+ years of relevant work experience in Operations, preferably in a global Procure to Pay environment in a large organization with previous Ariba experience.
  • Process excellence experience in Shared Service Center/Outsourcing environment a large plus
  • Comfortable working with ambiguity and adept at using data to influence business decision making
  • A demonstrated ability to communicate clearly and effectively with all levels within an organization
  • Proven ability to establish trust quickly and create win-win situations
  • Experience working with Microsoft Office, with advanced Excel Skills preferred. Solid knowledge of PowerPoint and the ability to prepare and deliver leadership presentations
  • Project management experience and demonstrated ability to implement change


Business Program Management IC4 - The typical base pay range for this role across the U.S. is USD $97,600 - $188,400 per year. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $125,000 - $206,400 per year.
