The Opportunity

Help close achievement gaps for students preparing for life-changing exams by teaming up with The Tutorverse. Each year, we help hundreds of students unlock their potential on high-stakes tests like the ACT/SAT, ISEE/SSAT, HSPT, and SHSAT. We do this by delivering premium, service-oriented one-on-one tutoring and small-group classes. We are looking for an analytical, systems-oriented Operations Manager to take ownership of our tutoring logistics architecture and lead the support team that makes our services possible.
Position Summary

The Private Tutoring Operations Manager owns the end-to-end logistics and client experience of our one-on-one tutoring programs. This is a high-stakes, multi-variable logistical role requiring an intimate understanding of New York City. You will oversee the matching of students with tutors based on complex constraints (NYC transit times, subject expertise, pricing tiers, and availability), manage a team of operational support staff, and act as the definitive account manager for premium B2C clients. You will not just execute processes; you will audit, design, and optimize the data structures (CRMs and spreadsheets) that drive our operations.

Work hours are generally between 9:00am and 6:00pm ET, Monday-Friday.
Responsibilities
  • Logistical Routing & Matching: Own the day-to-day deployment of instructional staff, independently solving multi-variable scheduling constraints across NYC transit routes, virtual time zones, and client preferences.
  • Team Management: Direct, train, and manage operational support staff (coordinators and virtual assistants) responsible for data entry, billing, and baseline scheduling tasks.
  • Premium Client Management: Act as the definitive point of contact for high-expectation B2C clients. Proactively audit incoming accounts to resolve cross-departmental billing discrepancies, operationalize specific pedagogical accommodations for instructors, and navigate rigid geographic/temporal scheduling preferences. Must maintain a poised, consultative tone while firmly enforcing company policies and preventing escalations before they occur.
  • Systems Architecture: Build and maintain advanced spreadsheet models and CRM pipelines to track tutor utilization, student progress, and operational bottlenecks.
  • Capacity Planning: Identify gaps in tutor capacity across specific subjects or geographic zones and trigger recruitment or training workflows to resolve them proactively.

  • Base Salary: The base salary range for this position is $80,000 - $110,000. Total compensation will be determined based on the candidate's verified technical and logistical experience, as well as their geographic location (reflecting local Tri-State vs. remote non-local market rates).

Minimum Qualifications
  • A bachelor's degree from an accredited college.
  • Deep, lived, or professionally executed knowledge of NYC geography, public transit systems, and the culture/timelines of NYC specialized public and private school admissions.
  • At least 4 years of professional experience in operations, logistics, or dispatch management.
  • Advanced technical fluency in spreadsheet architecture (must be highly proficient in creating and manipulating PivotTables, complex filtering, LOOKUPs, and conditional formatting/data validation).
  • At least 2 years of experience handling high-stakes B2C client management and escalations (i.e., making independent judgment calls with premium clients).
  • Demonstrated experience directly managing subordinate staff or remote virtual assistants.
Preferred Qualifications
  • Experience in EdTech, premium concierge services, or high-volume talent staffing.
  • Demonstrated track record of migrating or optimizing CRM workflows (HubSpot, Breezy.hr, Salesforce, etc.).
