SCHEDULE: Full-Time | Monday-Friday | Exempt

SALARY RANGE: $165,000 - $190,000, commensurate with experience

OPPORTUNITY OVERVIEW:

Pacific Cancer Care (PCC) is seeking an experienced, collaborative Practice Administrator to provide organization-wide operational leadership across all locations and service lines. Reporting directly to the Executive Director/CEO, this roleoversees all leadership positionsensuring alignment, accountability, and consistent standards of performance. As PCC continues to grow and expand services, the Practice Administrator will be a catalyst for structured change management-guiding leaders and teams through evolving workflows, systems, and structures; building buy-in; and fostering a culture that embraces improvement, transparency, and patient-centered care. The ideal candidate brings a steady, people-focused approach to leading transformation while sustaining day-to-day operational excellence.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

Organizational Leadership & Oversight
  • Provide practice-wide operational leadership for all service lines (e.g., Medical Oncology/Infusion, Nursing, Laboratory, Admixture operations, Radiation Oncology, PET/CT, Research, Front Desk/Patient Access/Scheduling, and other current or future programs).
  • Lead and support all Directors, Managers, Supervisors, and Leads; set expectations, provide coaching and feedback, and contribute to performance evaluations.
  • Champion change-management efforts-set clear objectives, communicate consistently, and help leaders and teams adopt new policies, processes, and technologies with confidence and clarity.
  • Develop leadership capabilities, succession planning, and team engagement strategies that reinforce PCC's values and mission.


Multi-Site Operations Management
  • Ensure smooth, consistent operations across Monterey, Los Gatos, and Gilroy; maintain a regular on-site presence to understand local needs and support timely issue resolution.
  • Oversee new site integration, go-live readiness, and operational transitions, coordinating with clinical, administrative, and technical teams.
  • Align space planning, staffing models, and resource allocation with demand, safety, and patient-flow needs.


Operational Excellence, Standardization & Change
  • Standardize policies, procedures, and workflows across sites/service lines; measure adoption and close gaps with targeted training and reinforcement.
  • Monitor KPIs (e.g., access, throughput, patient experience, quality/safety, labor productivity); lead improvement initiatives using structured change methods to achieve sustainable results.
  • Partner with PCC leadership and OneOncology on budgeting, expense control, productivity, and forecasting; ensure leaders understand targets and variance drivers.
  • Maintain regulatory and compliance readiness through disciplined documentation, and audits.


Collaboration, Communication & Strategic Partnership
  • Partner with the Executive Director/CEO, Medical Director, and physician leadership to translate strategy into operational plans, milestones, and accountabilities.
  • Facilitate effective, transparent communication among clinical and administrative teams; promote proactive, cross-functional problem solving.
  • Represent operations in strategic planning, growth initiatives, and major projects (e.g., new services, technology implementations).

QUALIFICATIONS & REQUIREMENTS:
  • Bachelor's degree in Business, Healthcare Administration, or related field - Required; Master's (MBA/MHA/MPH) - Preferred.
  • 5+ years of progressive healthcare operations leadership - Required; oncology, multi-site ambulatory, or complex outpatient experience - Preferred.
  • Demonstrated success leading leaders with clear goal setting, coaching, and performance input.
  • Proven change-management capability: able to plan and execute change, build stakeholder buy-in, coach teams through transitions, and achieve measurable adoption.
  • Strong communication, facilitation, negotiation, and conflict-resolution skills; calm, people-centered approach to change and escalation management.
  • Experience with EHRs (e.g., EMR/OncoEMR), operational analytics/KPI dashboards, and performance improvement methodologies.
  • Working knowledge of regulatory compliance and outpatient accreditation expectations relevant to oncology.
