Summary

The Pharmacy System Administrator serves as an operational subject matter expert within Professional Pharmacy, supporting medication-use workflows that are critical to regulatory compliance, financial integrity, and inventory stewardship. Under the guidance of Pharmacy Leadership, this role coordinates recurring operational functions related to inventory management, pharmacy purchasing, 340B program oversight, and medication financial program reconciliation. This position focuses on monitoring, analysis, follow-up, and coordination of pharmacy operations that occur both within and outside of EMR, ensuring accuracy, audit readiness, and standardization across all Professional Pharmacy locations.

Essential Functions

  1. Collaborates with Pharmacy, Revenue Cycle, Clinics, Hospital, IT, Risk, Finance, Legal, and others to meet operational and compliance goals.
  2. Communicates clearly, directly, and on time with stakeholders.
  3. Pulls, analyzes, and presents data to support decision-making.
  4. Maintains recurring reports on inventory, purchasing, 340B compliance, and medication financial programs.
  5. Reviews data routinely to identify discrepancies, trends, and compliance risks.
  6. Uses standard office tools (documents, spreadsheets, presentations, workflows) to support operations and reporting.
  7. Oversees 340B program operations, including compliance with federal requirements.
  8. Monitors purchasing and dispensing activity to ensure 340B eligibility and accuracy.
  9. Prepares for and supports internal and external 340B audits, including documentation and follow-up.
  10. Maintains accurate 340B reporting on savings, compliance, and utilization.
  11. Coordinates with vendors and wholesalers to support system setup, pricing accuracy, and inventory management.
  12. Manages medication and supply purchasing across multiple pharmacy locations.
  13. Maintains inventory oversight, including par levels, expiration management, and waste reduction.
  14. Resolves purchasing and inventory issues, including discrepancies in orders, deliveries, and pricing.
  15. Provides staff training and ongoing support on 340B, purchasing, inventory, and compliance workflows; supports troubleshooting and continuous process improvement.
  16. Performs other duties as assigned.

Qualifications

Required:
  • High School Diploma or equivalent.
  • Active pharmacy technician license in the state of Washington.
  • Certified Pharmacy Technician with 3-5 years applicable acute, ambulatory, or retail pharmacy experience.
  • Proficiency in word processing, spreadsheets and presentation software.
  • Strong analytical and problem-solving skills.
  • Demonstrated ability to plan, implement and present program information to department leadership. Includes proven ability to read, analyze and interpret technical documentation and literature.
  • Ability to interpret regulatory requirements and operational data.

Desired:
  • Experience in financial analysis, preferably within a healthcare or pharmaceutical environment.
  • Epic Experience.
  • Certification in 340B program management (340B-ACE).
  • Pharmacy Revenue Cycle Certification (ASHP or other).
