Full Job Description
An established New York-based hedge fund managing several billion dollars in assets is seeking a highly polished, experienced Personal & Executive Assistant to support the firm's Founder & Chief Investment Officer. This is a high-touch opportunity for an individual who is exceptionally organized, responsive, discreet, and comfortable operating in a fast-paced investment environment. Candidates must have a minimum of 7+ years of applicable executive business and personal administrative support experience, ideally working in financial services, and a Bachelor's degree is strongly preferred/required. The ideal candidate will bring excellent judgment and a high level of technological fluency, with the ability to quickly adopt and leverage new digital tools, including emerging AI technologies.   • Salary depends on experience (150-200k base), plus discretionary bonus eligibility with potential for significant additional compensation. Comprehensive benefits, with the first tier of coverage fully paid for both individual and family plans, 401(k) with a 3% safe-harbor contribution, plus a portion of bonus automatically contributed, 3 weeks of vacation, 5 sick days, NYSE holidays, and much more!
  • Hours are 8:00am-5:00pm. Hybrid work schedule (4 days in office / 1 day remote). Flexibility to monitor email and respond to time-sensitive matters outside of standard business hours is required.
Responsibilities:
  • Manage and protect the executive's complex, consolidated calendar, balancing business and personal commitments and resolving scheduling conflicts in real time.
  • Coordinate closely with multiple internal and external constituents to ensure seamless scheduling and communication.
  • Manage and respond to select email correspondence and calls on behalf of the executive.
  • Maintain and organize contacts, files, records, and other confidential information.
  • Plan and execute business and personal events ranging from small meetings to larger, more complex engagements.
  • Architect and coordinate complex domestic and international travel, including flights, ground transportation, detailed itineraries, and real-time travel monitoring.
  • Anticipate needs, identify potential issues, and proactively solve problems before they arise.
  • Improve administrative processes and leverage technology to create greater efficiency for the executive.
  • Work closely with and provide support to the executive's Chief of Staff.
  • Coordinate household logistics and personal projects, including researching, scheduling, and managing suppliers, vendors, and contractors.
  • Handle highly sensitive and confidential business and personal information with absolute discretion.
  • Provide flexible support as priorities shift throughout the day.

Required Qualifications:
  • Minimum 7-15 years of relevant Executive Assistant, Personal Assistant, or similar high-level support experience, ideally supporting a senior executive, founder, investor, or other high-profile principal in a demanding environment.
  • Bachelor's degree strongly preferred, but not required.
  • Exceptional organizational skills and ability to manage multiple priorities simultaneously.
  • Highly responsive, proactive, resourceful, and solutions-oriented.
  • Excellent written, verbal, and interpersonal communication skills.
