Job Description Summary:

We’re seeking a detail-driven and technically proficient Payroll Tax & Compliance Analyst to strengthen payroll accuracy, ensure multi-state compliance, and support year-end deliverables. This role is essential for maintaining the integrity of payroll tax operations, overseeing tax filings, reconciliations, and audit readiness during a period of continued integration and system growth.

This role is hybrid with regular in office presence in in San Diego, CA or Edison, NJ. Specific location details and expectations will be discussed during the interview process.

Position Responsibilities and Duties: 

  • Prepare, reconcile, and file federal, state, and local payroll taxes, ensuring all deposits and filings are completed accurately and on time.

  • Audit quarterly and annual tax filings (941, 940, W-2s, W-3s, state unemployment) and resolve variances in collaboration with Finance and ADP Tax Services.

  • Maintain payroll tax configurations and jurisdiction setups in Workday and ADP, ensuring proper tax withholding, SUI rates, and registration alignment.

  • Manage multi-state tax compliance, including nexus tracking, employee moves, and new state registrations.

  • Reconcile payroll tax liability accounts, prepare supporting schedules, and validate year-end reporting accuracy.

  • Respond to tax agency notices and inquiries with thorough documentation and professional communication.

  • Support ongoing integration projects by validating data migrations, testing tax setup, and ensuring accurate mapping between entities.

  • Monitor changes in tax legislation and communicate required system or process adjustments proactively.

  • Assist with internal and external audits, providing schedules, reconciliations, and compliance support as needed.

Minimum Skills or Experience Requirements

  • Bachelor’s degree in Accounting, Finance, or related field preferred.

  • 3–5 years of payroll tax experience within a multi-state, multi-entity organization.

  • Strong working knowledge of ADP SmartCompliance and Workday Payroll tax modules.

  • Deep understanding of payroll tax principles, filings, and reconciliation best practices.
