Payroll Coordinator

Position Summary

Five Town CSD and MSAD 28 are seeking a detail-oriented and organized Payroll Coordinator to join our team. The Payroll Coordinator is responsible for processing accurate and timely payroll for all district employees, including certified staff, classified personnel, substitutes, and temporary workers. This position ensures compliance with federal and state regulations while maintaining confidential employee information and supporting district financial operations.

Key Responsibilities
  • Accurately process bi-weekly payroll and pay for stipend positions.
  • Calculate and process salary adjustments, overtime, stipends, and supplemental pay.
  • Verify and pay all state and federal taxes; Prepare and file quarterly state and federal tax reports.
  • Maintain accurate employee records including salary schedules, deductions, and benefit information.
  • Process employee deductions.
  • Respond to employee benefits concerns including: Insurance, retirement plans and contributions, time off.
  • Ensure compliance with collective bargaining agreements and district policies
  • Maintain work calendars in time tracking and payroll systems.
  • Coordinate with Human Resources to process FMLA leaves
  • Assist with year-end reporting including W-2 preparation and distribution
  • Support budget preparation by providing payroll projections and analysis


Qualifications/Skills
  • Associate's degree in accounting, business, or related field preferred
  • Minimum 2-3 years payroll processing experience, preferably in public sector or education; proficiency with school payroll software systems desired
  • Strong attention to detail and accuracy in data entry
  • Excellent organizational and time management skills
  • Ability to handle confidential information with discretion
  • Strong communication and customer service skills
  • Understanding of applicable federal, state, and local regulations (e.g. FLSA, ACA, COBRA, ERISA)

  • Maine Department of Education CHRC Approval

Pay and Benefits
  • Pay range $35 - $42/hour based on experience
