PAY RATE: $90985.17 - $95773.86 Per Year

JOB SUMMARY AND PURPOSE

Supporting the Payroll Supervisor, the Payroll Administrator leads the day-to-day Payroll Department efforts in the completion of semi-monthly payrolls, delivery of required reports, collection of payroll information and maintenance of required records.

DUTIES AND RESPONSIBILITIES
  • Directs the preparation and processing of semi-monthly payroll for over 2400 employees; review and ensure accuracy of approved time sheets; track and deduct all garnishments and other special payroll deductions
  • Coordinates payroll, human resources, budget and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor" home" work, overtime, leave balances, head count, and retirement contribution reports)
  • Conducts training and administration of the electronic timekeeping system. Ensures the setup of each employee, valid programs for each employee's charges, and adherence to FLSA; monitor submissions of approved time sheets, ensure valid data transfers to/from payroll service
  • Reconcile tax liabilities with tax deposit payments and book payroll general entries to company accounting system.
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to APA policy including compliance with federal/state/local regulations

Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges.

ESSENTIAL DUTIES:
  • An essential function of this position requires incumbents to report to the office.
  • Execution of Semi-Monthly payroll
  • Coordinate with HR Department, Programs, and Financial departments the collection and securing of required personnel data, reports, and records.
  • Oversees the training on, and operations of the timekeeping system; verifies the accuracy of payroll/personnel data, makes needed adjustments
  • Reconciles payroll tax liability with tax deposits, books payroll general entries into accounting system
  • Mentor and coach for Payroll Department
  • Other duties as required and may be subject to change

MANDATED REPORTER

As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

Qualifications

REQUIREMENTS:
  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
  • Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.

EDUCATION:
  • Associate's Degree in Accounting or related field,
  • Or Two years accounting or payroll experience.

EXPERIENCE:
  • Three years• experience in a Payroll Department, in addition to the education requirement. (If no degree, then 5 years• experience required.)

PREFERRED QUALIFICATIONS:
  • Bachelor's degree in Accounting or Business preferred
  • Previous experience using UltiPro HRIS software and time and attendance software is preferred
  • Familiar with Great Plain accounting software
