Pay: $80,000 - $120,000 / Annually, with flexibility based on experience

Work Schedule: Hybrid - 2 days in office and 3 days remote

Job Description:

The Payroll Administrator will support the day-to-day administration of payroll across multiple entities and countries. The ideal candidate will have strong hands-on U.S. payroll processing experience and some familiarity with international payroll. This role will work closely with internal Finance and HR teams as well as external payroll providers to ensure payroll is accurate, compliant, and completed on schedule.

Key Responsibilities:
  • Process payroll for U.S. employees and support payroll activities for employees located internationally.
  • Coordinate payroll information with third-party providers, local vendors, and employer-of-record partners.
  • Review and implement employee updates, including new hires, terminations, compensation changes, bonuses, commissions, and allowances.
  • Verify payroll reports and employee data before payroll is finalized.
  • Prepare payroll-related accounting entries and assist with general ledger reconciliation.
  • Research and resolve differences between payroll records and accounting balances.
  • Reconcile payroll taxes, benefit deductions, retirement contributions, invoices, and other payroll-related transactions.
  • Review payroll funding requirements and assist with cash reconciliation.
  • Maintain accurate payroll records, tax information, earnings history, and supporting documentation.
  • Assist with monthly, quarterly, and year-end close activities.
  • Support annual payroll reporting, tax forms, reconciliations, and bonus processes.
  • Help ensure payroll practices meet applicable federal, state, and international requirements.
  • Assist with payroll audits and provide requested documentation.
  • Prepare payroll reports and analysis for HR, Finance, Accounting, and management.
  • Respond to employee questions involving compensation, deductions, taxes, direct deposit, and other payroll matters.
  • Coordinate payroll-related benefit deductions and work with vendors to resolve discrepancies.
  • Assist with payroll system updates, testing, implementations, and process improvements.
  • Help maintain accurate information between payroll, HRIS, timekeeping, and benefits systems.
  • Protect confidential employee and compensation information while maintaining strong internal controls.

Qualifications:
  • 3+ years of progressive payroll experience.
  • Strong hands-on experience processing U.S. payroll, particularly multi-state payroll.
  • Exposure to international payroll is required.
  • Experience supporting employees or entities across multiple countries is a plus.
  • Working knowledge of international payroll practices and statutory requirements.
  • Experience with ADP software highly preferred.
  • Advanced Microsoft Excel and payroll-system capabilities.
  • Strong reconciliation, analytical, and problem-solving skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple deadlines across different locations and time zones.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Bachelor's degree in Accounting, Finance, Human Resources, Business, or a related field preferred.
  • Payroll certifications such as CPP, CEBS, GBA, or CBP are a plus.
