Position Summary

Monarch Communities is hiring a Payroll Accounting Manager, a payroll manager / accountant role that owns our payroll function end-to-end: every pay cycle, the accounting integration behind it, and the vendor partnership that supports it. This role reports to the VP of Accounting and directly supervises our Payroll Specialists. Beyond running payroll as a managed operation, this person will help shape how payroll works across the portfolio by building clear, standardized intake and onboarding workflows, and owning the accounting architecture beneath payroll, including GL mapping and portfolio-wide salary allocations.

Scope: 37 senior living communities across NJ, NY, PA, DE, MA, and CT, plus corporate entities; bi-weekly and weekly payroll cycles processed in Workday, supported by a managed payroll services partner.

Salary Range: $100,000 - $115,000 Yearly

Essential Responsibilities

Payroll Operations
  • Own end-to-end execution of all pay cycles (community and corporate, on-cycle and off-cycle) in Workday.
  • Publish and enforce the payroll calendar, input deadlines, and audit/confirm checkpoints across the portfolio.
  • Supervise, develop, and balance workload across the Payroll Specialist team; own error resolution and root-cause fixes.
  • Design and maintain payroll process documentation, controls, and business-continuity coverage.
  • Build standardized intake and onboarding workflows: new hire setup, status changes, and new position requisitions; and partner with community and operations leadership on timesheet input standards and compliance.

Accounting Integration
  • Own payroll GL configuration in Workday and mapping to Yardi Voyager; produce and validate payroll journal entries, accruals, and billbacks in partnership with the accounting team.
  • Reconcile payroll bank/clearing accounts; support month-end close, intercompany allocations, and audit requests.
  • Design and maintain portfolio-wide corporate and regional salary allocation methodologies, in partnership with the VP of Accounting.

Vendor & Compliance Management
  • Serve as primary relationship owner for our managed payroll services partner, including case management, SLA tracking, and quarterly tax balancing review.
  • Own multi-state payroll tax posture: registrations, SUI rates, jurisdiction setup, and agency notice resolution across six states.
  • Oversee garnishments, W-2 season, and year-end processing, including unemployment claims coordination.

Reporting & Labor Analytics
  • Serve as the payroll reporting partner to the Finance team: build and maintain Workday payroll reports feeding portfolio labor metrics (hours, overtime, premium pay, labor cost).
  • Produce a monthly community payroll input scorecard for community and regional leadership.


Qualifications

Qualifications
  • Bachelor's degree in Accounting or Finance required. 5-8+ years progressive payroll and/or payroll accounting experience; multi-state and multi-entity experience required (1,000+ employee scale strongly preferred).
  • Demonstrated GL/accounting fluency: journal entries, account mapping, cost allocations, reconciliations, close support; Yardi exposure a plus.
  • Experience designing payroll processes (intake forms, input standards, position-setup workflows) and driving field/manager accountability for data quality.
  • Workday Payroll experience strongly preferred, including report writing (custom reports, calculated fields); experience with a managed-payroll or BPO vendor relationship (e.g., OneSource Virtual, ADP) a significant plus.
  • Payroll or HRIS system implementation experience a plus.
  • Senior living, healthcare, or hospitality industry experience a plus (shift differentials, weekly cycles, high hourly population).
  • Working knowledge of multi-state wage & hour and payroll tax compliance (NJ, NY, PA, DE, MA, CT).
