PURPOSE OF POSITION

The Partnerships Coordinator supports the development, execution, and growth of Metrolink's strategic partnerships, sponsorships, advertising, and non-rider revenue initiatives. This position is responsible for developing and managing partner relationships, identifying new business opportunities, coordinating partnership activations, supporting sponsorship fulfillment, and independently managing assigned partnership accounts from prospecting through execution. The ideal candidate is organized, proactive, relationship-driven, and comfortable balancing business development with program administration in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The duties listed below are intended to describe the general nature and level of work being performed and are not to be interpreted as an exhaustive list of responsibilities

  • Research, identify, cultivate, and support the development of strategic partnerships, sponsorships, advertising opportunities, and other revenue-generating initiatives aligned with Metrolink's goals.
  • Conduct outreach to prospective partners, maintain an active sales pipeline, coordinate meetings, prepare proposals and presentations, and independently manage assigned partnership accounts.
  • Maintain the partnership CRM and other tracking systems, ensuring accurate records of prospects, partner communications, agreements, sales activities, and reporting metrics.
  • Coordinate the lifecycle of partnership and sponsorship agreements from proposal through execution, invoicing, fulfillment, renewals, and closeout while maintaining all required documentation, including contracts, amendments, Certificates of Insurance (COIs), W-9s, and related records.
  • Coordinate sponsorship and advertising fulfillment by tracking contractual deliverables, campaign schedules, installation timelines, partner benefits, and project milestones to ensure timely execution.
  • Coordinate advertising inventory and campaign scheduling, including train wraps, station advertising, onboard advertising, digital media, promotional campaigns, and other partnership assets.
  • Monitor campaign launches, renewals, expirations, production schedules, and asset availability while coordinating with vendors and internal departments to ensure successful implementation.
  • Assist with tracking partnership revenue, sponsorship payments, advertising sales, budgets, invoices, and financial reporting while coordinating with Finance and Procurement to ensure compliance with agency policies and procedures.
  • Coordinate multiple partnership projects simultaneously by maintaining project plans, schedules, action items, timelines, and identifying potential risks or conflicts.
  • Plan and coordinate partnership activations, sponsorship events, community outreach activities, and promotional campaigns, including permitting, vendor coordination, site logistics, staffing, giveaways, parking, security, and event-day operations.
  • Coordinate the procurement, ordering, inventory management, forecasting, and distribution of promotional merchandise and event materials while maintaining accurate inventory records.
  • Collaborate with internal departments, including Marketing, Operations, Safety, Procurement, Legal, Finance, Customer Experience, and external vendors to ensure successful delivery of partnership and innovation initiatives.
  • Prepare partnership presentations, sponsorship proposals, executive briefings, performance reports, post-campaign recaps, correspondence, and other communication materials.
  • Coordinate meetings, maintain project documentation, prepare agendas, document action items, and provide administrative support for partnership and innovation initiatives.
  • Serve as a primary point of contact for assigned partners, vendors, and internal stakeholders by responding to inquiries and ensuring a high level of customer service.
  • Represent Metrolink at meetings, community events, sponsorship activations, and other functions, including working occasional evenings, weekends, and holidays as required.

MINIMUM REQUIREMENTS TO PERFORM ESSENTIAL JOB FUNCTIONS
Education and Experience

  • Bachelor's Degree in Business Administration, Marketing, Communications, Public Relations, Sales, Hospitality, Event Management, or a related field.
  • A minimum of three (3) years of experience in business development, partnerships, sponsorships, advertising sales, account management, marketing, communications, event management, customer relations, or a related customer-facing field.
  • A combination of training, with a minimum of an Associate Degree and/or experience that provides the required knowledge, skills, and abilities, may be considered when determining minimum qualifications. Advanced relevant coursework may also substitute for a portion of the required experience.
  • Valid Class C Driver's license with a satisfactory driving record of no more than two moving violations and no DUIs within the last three years.

Preferred Qualifications

  • Experience developing or managing partnerships, sponsorships, advertising programs, or business development initiatives.
  • Experience coordinating events, community outreach programs, or customer engagement activities.
  • Experience working with Customer Relationship Management (CRM) systems such as Salesforce.
  • Experience working in the public sector, transportation, tourism, hospitality, sports, entertainment, or related industries.
  • Experience using artificial intelligence (AI) tools to improve productivity, research, communications, or workflow efficiency.

Knowledge, Skills, and Abilities

  • Customer Relationship Management (CRM) systems such as Salesforce or similar platforms.
  • Oracle, Application Extender, or similar e-business software.

PHYSICAL REQUIREMENTS
  • Transition between a stationary position at a desk or work location and move about Metrolink facilities or other work site locations

Working Conditions

Position requires work in a normal office environment with little exposure to excessive noise, dust, or temperature. Work may also be conducted in outdoor environments, at construction sites, Railroad Track and Right-of-Way environments, and warehouse environments, with possible exposure to individuals who are hostile or irate, moving mechanical parts, and loud noises (85+ decibels, such as heavy trucks, construction, etc.).
