- Starting Salary Range: $75,000 - $100,000 (+ annual bonus)

The Impact You Will MakeIn this role, you'll be an expertly organized and strategic professional as Operations Manager to three executives at BPI in varying capacities. This position plays a crucial role in enabling BPI leadership to work efficiently and focus on strategic priorities. Responsibilities for the role go beyond task completion-you'll serve as a key operational partner who helps proactively manage daily, weekly, and long-term calendars and logistics for executives. Imperative to the success of our thriving culture, you'll support our internal operations team in maintaining the SF Office culture.
You'll have the opportunity to work with individuals across all levels of the organization, particularly with our executive leadership based in SF and existing executive support team, reporting directly to the Senior Director of Culture and Operations. The ideal candidate will have excellent organizational and communication skills, a proactive mindset, be very detail-oriented and demonstrate the ability to anticipate needs while handling a wide range of responsibilities with discretion and efficiency in a fast-paced environment.
What the Day-to-Day Looks Like - Executive Administration You will provide expert-level administrative support to high-level BPI executives, working alongside our existing operations assistants. Your key responsibilities will include:
- Proactively managing complex schedules and calendar appointments (both internal and external) and prioritizing competing demands based on urgency and importance. You will align your core working hours to CT while maintaining the flexibility to handle urgent scheduling adjustments outside of standard hours.
- Scheduling and confirming internal meetings, including 1:1s and team meetings, and coordinating with external stakeholders for client and vendor meetings. When scheduling, you will be mindful of US and international time zones and will build in adequate time for preparation, travel, and breaks to ensure sustainable pacing.
- Coordinating domestic and international travel logistics, including flights, hotels, and ground transportation.
- Submitting weekly hours and managing monthly expense reports, ensuring accuracy, timeliness, and compliance with internal policies.
- Strategic Support You'll serve as strategic partner by:
- Conducting light research and assisting with presentation materials.
- Providing end-to-end trip support, including detailed itinerary development, managing last-minute logistics adjustments, and ensuring seamless transitions while executives are traveling.
- Proactively taking initiative on operational tasks by building strong relational alignment with executives, intuitively understanding their priorities, and bringing the energy needed to drive daily tasks forward before being asked.
- BPI Culture Be a champion of BPI culture and collaborate with and engage with leadership in planning activities, calendars and the organization of events and operations tasks as needed.
Requirements- 4-7 years of relevant experience, preferably as an executive assistant or in an internal operations role with a proven track record of managing multiple complex calendars in a fast-paced environment.
- Demonstrated ability to maintain flexibility and responsiveness outside of core business hours to handle time-sensitive travel or scheduling emergencies.
- Proven ability to prioritize and handle multiple assignments while maintaining a commitment to deadlines and long-term goals.
- Exceptional organizational and time management skills.
- Strong interpersonal and communication skills with a high level of intuition and discretion.
- Thrives working in a collaborative and fast paced environment while juggling multiple projects and conflicting timelines.
- Ability to anticipate needs and proactively address issues with a problem-solving mindset.
