Operations Coordinator - San Francisco, CA Full-Time, Exempt, On-site 5 minimum days/week in officeOverview of Position: Delivering on the promise of making San Francisco the first city in the US with universal access to legal services requires high-touch operations with many moving parts, including at least four physical office locations centrally located within our communities of service, volunteers and interns, and grant administration. The Operations Coordinator supports the operational infrastructure that enables Open Door Legal's offices and teams to function effectively. In this role, you will coordinate facilities administration, vendor management, office infrastructure, operational systems, organizational logistics, and the organization's volunteer program. Working closely with the Associate Director of Operations, the Operations Coordinator will implement operational systems, maintain organizational documentation, support grant administration and reporting processes, and coordinate organization-wide operational initiatives. This role also leads the day-to-day administration of ODL's volunteer program, ensuring an exceptional volunteer experience while supporting organizational talent and community engagement goals.

Responsibilities:- Coordinate facilities vendors, service providers, maintenance scheduling, and landlord communications as well as office infrastructure projects, office moves, and workspace improvements.
- Manage office furniture, equipment, shared workspaces, kitchens, and organizational purchasing.
- Coordinate implementation tasks for operational projects led by the Associate Director, tracking project timelines, action items, and implementation progress.
- Coordinate collection of grant documentation and reporting materials; track grant reporting deadlines and cross-functional follow-up; and maintain grant documentation, reporting templates, and operational records.
- Maintain standard operating procedures (SOPs), templates, forms, operational documentation, and organizational resources.
- Manage volunteer recruitment, interviewing, onboarding, offboarding, scheduling, and communications.
- Maintain volunteer databases, surveys, evaluations, reporting, and program documentation.
- Build and maintain relationships with schools, workforce organizations, and community partners to strengthen volunteer pipelines.
- Coordinate logistics for board meetings, staff events, trainings, and organization-wide gatherings.
- Provide administrative coordination for organization-wide operational initiatives.

Requirements: - Passion for the mission of Open Door Legal
- Minimum of three (3) years of experience in operations, office administration, volunteer management, project coordination, or nonprofit administration.
- Demonstrated ability to coordinate multiple priorities and manage complex administrative workflows.
- Strong organizational, communication, and relationship-building skills.
- Experience in maintaining systems, documentation, and operational processes.
- Comfortable coordinating across multiple departments and managing competing priorities.
- Proficiency with Microsoft Office, Google Workspace, project management tools, and database systems (experience with Salesforce, Notion, or similar platforms preferred).
- Must live within San Francisco, or be willing to commute regularly to and between our four offices (Bayview, Excelsior, Western Addition, and Sunset).
