About the PositionThe Operations Coordinator will manage daily coordination between
management, project teams, field personnel, customers, subcontractors, vendors, and equipment service providers.
This is an operations-focused role-not a traditional administrative or dispatcher position. The coordinator will oversee scheduling, personnel, equipment, maintenance, subcontractors, customer needs, and project documentation.
Key Responsibilities- Coordinate daily crews, equipment, trucks, subcontractors, and project schedules.
- Ensure personnel and equipment are available and properly assigned.
- Adjust schedules as project conditions and customer needs change.
- Identify potential scheduling conflicts, equipment shortages, and operational issues.
- Manage equipment maintenance, repairs, inspections, and preventive-maintenance schedules.
- Coordinate with mechanics, dealerships, vendors, and equipment service providers.
- Track equipment availability, downtime, repairs, and maintenance history.
- Serve as a key operational contact for customers and project teams.
- Coordinate subcontractors, equipment rentals, vendors, and outside resources.
- Maintain project schedules, work orders, tickets, and operational documentation.
- Assist with billing, project closeout, and required project documentation.
Requirements- 5+ years of experience in construction operations, project coordination, fleet/equipment management, or a similar role.
- Heavy civil, public works, general contracting, equipment rental, or related industry experience preferred.
- Experience coordinating multiple projects, crews, customers, subcontractors, and equipment.
- Knowledge of construction or heavy equipment and equipment maintenance.
- Strong scheduling, organizational, communication, and follow-through skills.
- Ability to solve problems independently and adjust priorities quickly.
- Comfortable working directly with field personnel, customers, mechanics, vendors, and subcontractors.
- Proficiency with Microsoft Outlook, Excel, Word, and related software.
