Car Pros Automotive Group is seeking an experienced
Office Manager to lead our Payroll and Accounting Department. This role is responsible for overseeing payroll operations, dealership accounting functions, financial controls, cash management, and department staff. The ideal candidate will have automotive dealership experience, strong accounting knowledge, and the ability to manage multiple priorities in a fast-paced environment.
Position SummaryThe Office Manager will oversee the daily operations of the Payroll and Accounting Department, ensuring accurate payroll processing, financial reporting, compliance, and accounting procedures. This position will supervise department staff, support dealership operations, and partner closely with management to maintain efficient financial processes and internal controls.
Key ResponsibilitiesPayroll Administration- Oversee daily payroll department operations.
- Supervise payroll staff and ensure semi-monthly payroll is processed accurately and on time.
- Coordinate with department managers regarding payroll submissions and timekeeping.
- Maintain payroll records and process payroll updates.
- Review and monitor employee timesheets.
- Manage PTO accruals and payroll-related reporting.
- Administer employee benefits, COBRA, benefit terminations, and reconciliation of benefit statements.
- Issue incentive and spiff payments.
- Resolve payroll discrepancies and ensure compliance with federal, state, and local laws.
- Maintain confidentiality and security of employee information.
Accounting & Financial Management- Oversee dealership accounting operations, including accounts payable and accounts receivable.
- Manage daily flooring payoffs and monitor the dealership's line of credit.
- Monitor and maintain corporate cash management functions.
- Assist management with cash flow forecasting and cash position optimization.
- Ensure proper accounting procedures, records management, and financial controls.
- Review general ledger reconciliations, bank reconciliations, reserve accounts, factory payables, and floor plan payable balances.
- Support tax planning and reporting activities and ensure timely completion.
- Direct credit policies, procedures, and collection activities.
- Assist in vendor selection and manage third-party contractual relationships.
Leadership & Compliance- Recruit, interview, hire, train, and develop department staff.
- Oversee department workflow and conduct performance evaluations.
- Provide proactive problem-solving support to management and staff.
- Reinforce company policies and ensure compliance with company standards.
- Maintain compliance with applicable laws, regulations, and internal controls.
- Perform additional duties as assigned.
Qualifications- Automotive dealership experience required.
- Bachelor's Degree in Accounting or Finance preferred.
- Minimum of 2 years of payroll experience required.
- ADP Workforce Now experience preferred.
- Minimum of 2 years of CDK experience preferred.
- Highly proficient in Microsoft Excel with at least 5 years of experience.
- Strong organizational, leadership, analytical, and communication skills.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
