Full Job Description
Who we are looking for:
ASCO is in search of a dynamic Meetings Manager to join our Meetings department! The successful hire will lead the planning and execution of a broad portfolio of Foundation and ASCO events, including donor experiences, volunteer meetings, and create exceptional experiences for our stakeholders.

This position is hybrid with a primary location at our headquarters in Alexandria, VA. The hire must reside within 75 miles of our headquarters.

Responsibilities
  • Execute the planning, administration, and logistics for a portfolio of events including timeline creation, budget development and management, contract negotiation, site inspection and venue selection, vendor management, invitation list management and registration, logistics, food and beverage selection, audiovisual coordination, program development and content, speaker and in-kind supporters solicitation and management, and event staffing coordination.
  • Manage all logistics for donor-hosted fundraising events with a customer-centric approach. Manage budgets, invitation list management and registration, logistics host arrangements, and coordination of onsite staffing.
  • Partner with the Conference Center team to manage event logistics for Foundation and volunteer meetings at ASCO HQ. In addition, assist with in-person volunteer meetings by working on pre-meeting logistics, and in-person staffing.
  • Administer the ASCO Travel account and vendor relationship, serving as a key resource for staff and volunteers with complex travel needs. Manage day-to-day travel approvals, answering the travel inbox questions, assisting staff and volunteers with complex travel, and monitoring the tracking airline unused tickets and points to ensure usage.
  • Support other ASCO events as needed (including those in the conference center) by providing logistical support when staff are out or workload is high.


Required Education and Experience
  • Bachelor's degree in Hospitality Management, Marketing, Communications, Business Administration, related field or equivalent years of experience
  • 5 - 7 years of direct, hands-on experience in meeting and event planning
  • Demonstrated experience in strategic planning, and utilizing analytical skills to achieve measurable outcomes
  • Demonstrated project or events management experience
  • Strong experience in Microsoft Office (Excel, Word and PowerPoint)


Preferred Education and Experience

Certified Meeting Professional (CMP)

Compensation

This is an exempt position. The hiring salary range for this position is $93,300-$113,800 annualized.

The range displayed reflects the minimum and maximum annualized salary ASCO expects to provide for a new hire for the position across the U.S. We thoughtfully determine and design offers based on the selected candidate's relevant experience and qualifications.
