About the RoleWe're looking for a highly organized, hospitality-minded Meeting & Events Planner to lead day-to-day meeting and event execution while guiding a team of Event Coordinators and Meeting & Event Associates. This role brings structure, calm, and high-touch service to internal and external events that support our business, culture, and workplace experience goals. You will partner closely with Workplace Experience, Facilities, IT/AV, Security, Catering, Executive Business Partners, and other cross-functional teams to deliver thoughtful, inclusive, on-brand events. You will also set clear priorities for the coordination team, coach strong execution habits, and ensure the team can scale support across a fast-moving environment.
What You'll DoEvent Planning & Execution
Lead planning and execution for internal and external meetings, workshops, executive gatherings, and workplace events Manage end-to-end logistics including scheduling, catering, A/V, security, room setup, staffing plans, signage, guest flow, and on-site execution
• Develop and maintain detailed project plans, timelines, run-of-show documents, staffing assignments, and post-event recaps
• Support high-touch events, executive-level meetings, VIP experiences, and large external attendee programs
• Conduct room checks, confirm event readiness, and deploy coordinators or support staff where needed
• Ensure events are welcoming, inclusive, accessible, and aligned with company standards and brand expectations Team Leadership & Collaboration
• Lead, coach, and prioritize the day-to-day work of Event Coordinators and the Meeting & Events Associate
• Set clear team expectations, delegate tasks, balance workloads, and remove blockers so events are executed consistently
• Review and approve event plans, timelines, run-of-show documents, staffing plans, and deliverables prepared by the team
• Provide feedback, training, and mentorship to build coordinator capability and create a strong service culture
• Partner with Event Planners, Event Coordinators, Workplace Experience, EBPs, REW partners, and teams including Leasing, Global Food Programs, Corporate Security, IT, Finance, People, and external vendors on event execution, DIY event requests, and cross-functional delivery
• Manage complex stakeholder and vendor relationships, driving alignment and accountability without relying on formal authority
• Liaise with IT/AV, Janitorial, Facilities, Security, Catering, and Reception teams to align roles, timelines, and day-of support
• Coordinate front desk and arrival experiences for large external events, including VIP greetings and attendee escort plans Operations & Logistics
• Lead pre-event planning meetings with clients and stakeholders; anticipate needs and troubleshoot issues as they arise
• Respond to common inquiries from clients, coworkers, managers, and partner teams with clear, service-oriented communication
• Receive, track, and distribute vendor deliveries including catering, rentals, florals, alcohol, printed signage, and event supplies
• Maintain event storage, event furniture inventory, supplies, and readiness standards across event spaces
• Support weekly programming in event spaces and ensure the right team coverage for recurring events
• Create basic event signage, guest name badges, sample floor plans, and event materials as needed
• Notify appropriate parties and follow safety procedures to protect employees, guests, vendors, and visitors in the building Process Improvement
• Build repeatable workflows, templates, and standards that help the team deliver consistently at scale
• Serve as a trusted workplace partner for one or more organizations, translating business needs into scalable programs, clear operating rhythms, and practical solutions.
• Identify opportunities to improve processes, streamline handoffs, strengthen communication, and elevate event quality across the organization
• Track lessons learned after events and translate feedback into clearer playbooks, staffing models, and service improvements
What You'll NeedApplicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
• 5+ years of experience in event planning, meeting coordination, workplace operations, hospitality, or a related field
• 2+ years of experience leading, mentoring, or functionally managing team members in a fast-paced service environment
• Demonstrated ability to delegate work, prioritize competing requests, coach team members, and hold a high bar for execution
• Proven ability to manage multiple projects, stakeholders, timelines, and vendors simultaneously
• Strong organizational, communication, hospitality, and people-management skills
• Experience managing vendors, contracts, budgets, catering and workplace experience partners, and cross-functional stakeholder relationships Nice to Have
• Experience in a tech startup, high-growth technology company, or similarly fast-paced environment
• Experience building or scaling event operations, coordinator workflows, or service standards for a growing team
• Producer experience for meetings, events, or workplace programs
• Familiarity with AV, VC, sound, and basic event technology coordination

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Meeting and Events Planner position is $100,000 annually and the maximum salary for the Meeting and Events Planner position is $110,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
