Responsibilities

Contract Intake, Triage, and Workflow Support

  • Own and improve Legal and contract intake workflows, including intake requirements, routing criteria, escalation paths, and status tracking.
  • Triage requests by contract type, urgency, value, business impact, vendor risk, and required stakeholder input.
  • Coordinate with Legal, business teams, and other stakeholders to route matters appropriately.

Business and Financial Alignment

  • Review SOWs, quotes, proposals, order forms, service descriptions, and related documents for completeness and clarity.
  • Help clarify scope, deliverables, milestones, timelines, assumptions, payment terms, renewal terms, termination needs, and change-order requirements.
  • Support resolution of scope, budget, PO, invoice, receipt, payment, renewal, and change-order issues in coordination with the appropriate functional owners.

Vendor and Cross-Functional Coordination

  • Support vendor-related processes by helping ensure required vendor information, diligence materials, approvals, and documentation are collected and routed to the appropriate stakeholders.
  • Help identify when vendor-related requests require review by IT, Quality, Compliance, Finance, Procurement, or Legal.
  • Maintain strong working relationships with internal stakeholders and vendors to support timely contract execution and issue resolution.

CLM Ownership and Contract Data Management

  • Serve as the Legal Department's CLM power user and escalation point.
  • Partner with Legal, IT, Procurement, Finance/Accounting, and business stakeholders to improve CLM usability, adoption, and data integrity.
  • Maintain dashboards showing contract volume, cycle times, aging matters, incomplete submissions, vendor-paper usage, approval bottlenecks, repository hygiene, and other process blockers.

  • Support contract queue management, status tracking, follow-up, reminders, and aging reports.
  • Review contract files for completeness, including approvals, executed documents, exhibits, SOWs, amendments, diligence records, PO references, and renewal or termination metadata.
  • Serve as backup for Legal Operations administration, including intake administration, request tracking, CLM data entry, repository maintenance, metadata updates, executed-contract filing, and routine reporting.
