- Provides centralized operational and administrative support for Physician Operations by coordinating physician contracts, provider onboarding, locums administration, provider operational processes, and executive support activities.
- Serves as the primary administrative resource supporting provider operational functions while ensuring efficient coordination between Physician Operations, Medical Staff Services, Human Resources, Finance, Legal, operational leadership, and external partners.
- Maintains highly confidential provider information and coordinates complex physician administrative processes requiring sound judgment, professionalism, discretion, and independent decision-making.
PRIMARY DUTIES & RESPONSIBILITIESOperational Excellence- Coordinates physician contract administration, including preparation, routing, execution, amendment tracking, and contract expiration monitoring.
- Maintains centralized physician contract files, provider records, and supporting documentation.
- Coordinates Provider Action Forms (PAFs) and provider compensation administrative workflows.
- Maintains provider rosters, operational tracking tools, and organizational records.
- Assists Administrative Directors and Physician Operations leadership with projects, reporting, and process improvement.
- Collects and compiles operational data supporting physician enterprise decision making.
Provider Onboarding Excellence- Coordinates onboarding activities for employed and contracted providers.
- Collaborates with Medical Staff Services, Human Resources, IT, Finance, and operational departments.
- Tracks onboarding milestones and communicates progress.
- Maintains onboarding documentation and coordinates provider orientation.
Provider Services Coordination- Coordinates physician operational support activities across Physician Operations.
- Serves as liaison between physicians and operational departments.
- Coordinates quality reporting submissions and provider incentive administrative activities.
- Maintains provider operational calendars and tracking systems.
- Supports physician recruitment administrative activities.
Locums Administration- Coordinates locums onboarding, scheduling support, invoice processing, and documentation.
- Serves as primary liaison with locums staffing agencies.
- Maintains locums coverage schedules and operational tracking tools.
Communication & Relationship Management- Represents Physician Operations professionally with physicians, executives, departments, and external organizations.
- Facilitates communication to ensure timely completion of provider operational activities.
- Exercises discretion and professionalism with confidential information.
Resource Stewardship- Demonstrates responsible stewardship of organizational resources.
- Identifies opportunities to improve administrative workflows and operational efficiency.
- Supports physician satisfaction and service excellence initiatives.
REQUIREMENTSEducation- Bachelor's degree in Business Administration, Healthcare Administration, or related field required. Equivalent combinations of education and relevant experience may be considered.
Experience- Minimum 3-5 years of progressively responsible healthcare administration, physician services, provider operations, or medical staff services.
- Experience supporting executive leadership and physicians.
- Experience with provider contracts, onboarding, credentialing, or physician operations preferred.
- Experience handling confidential contractual and compensation information.

- Excellent organizational and project coordination abilities.
- Knowledge of physician operations and provider onboarding.
- Advanced Microsoft Office proficiency.
