Full Job Description
Manager of Grant Accounting Operations

The Claims Conference is looking for a Manager of Grant Accounting Operations to join our Allocations department. The ideal candidate an experienced people manager who is process and detail oriented, takes initiative, and excels in project management. The skills that will enable your success are problem-solving, strong communication skills, and grants management experience.

Note: this is a hybrid position with a minimum of two days in the office.

Responsibilities:
  • Provide direct supervision and guidance to administrative staff, accounting associates, and grant accounting specialist, including workload prioritization, performance management, coaching, and professional development;
  • Oversee day-to-day administrative, financial, and data-related workflows to ensure timely, accurate, and compliant execution of responsibilities, including grant administration, reporting, and payment processes, in coordination with relevant teams;
  • Prepare and review administrative materials, reports, and analyses, including materials completed by staff;
  • Oversee coordination, review, and quality control of reports and supporting documentation submitted to the German Federal Ministry of Finance (BMF), ensuring compliance with contractual and regulatory requirements;
  • Serve as an internal point of coordination for BMF-related reporting inquiries and documentation requests;
  • Oversee the preparation of allocation materials, including coordinating the deliverables calendar to ensure deadlines are met and quality standards are maintained;
  • Coordinate regular updates in grants management systems to support program operations and reporting requirements;
  • Identify opportunities for process improvements, enhanced reporting and technology in collaboration with team members;
  • Support cross-departmental collaboration for operational questions and by facilitating effective communication between Allocations, Audit, Finance, Data and IT teams, and Communications, etc.;
  • Participate in report review as needed or if time allows;
  • Ensure communication, coordination and consistency in processes with Israel office;
  • Participate in policy development and documentation of processes, as needed;
  • Provide support to the Director of Allocations, RED Director, and Program Managers, as needed.


Qualifications
  • Bachelor's degree;
  • 5-7 years of related experience in nonprofit finance or grants management;
  • Managerial/supervisory experience preferred;
  • Expertise in a nonprofit organization;
  • Experience with financial reports and review;
  • Proven data/system experience;
  • Exceptional attention to detail and organizational skills.
