HYBRID SCHEDULE

ENA offers a flexible hybrid work schedule that allows employees the opportunity to work from the office two days a week and at home three days a week. We are headquartered in Schaumburg, Illinois.

GENERAL SUMMARY

The Manager, Executive Support provides high-level administrative, operational, and strategic support to the ENA President and Chief Executive Officer and serves as a key organizational partner in advancing executive priorities. The role leads executive support operations, coordinates high-visibility projects and initiatives, and facilitates effective communication and collaboration across the organization. The Manager oversees a team of executive support professionals, providing leadership and guidance on critical initiatives and day-to-day executive support. The role also partners with organizational leaders to oversee key cross-functional processes, including liaison coordination, contract management, and legal review, with a focus on alignment, consistency, efficiency, and timely execution.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Provides high level executive support to the Chief Executive Officer and ENA President, including but not limited to proactive calendar management, meeting coordination, travel logistics and special projects.
  1. Manages and advises the Executive Support team to ensure the effective exchange of information between the Senior Leadership Team and Chief Executive Officer and cross-divisional administrative support amongst Directors and the Executive Support Team.
  1. Coordinates the development and execution of agendas and schedules for the Chief Executive Officer's meetings, Leadership Team and other association-wide meetings. This includes timely agenda preparation, tracking and routing of action logs and ensuring successful cross-functional execution.
  1. Partners with Governance team to ensure the successful execution of initiatives related to governance during peak periods of activity, such as annual conference, board or foundation meetings or election support.
  1. Partners with the Director, Partner Engagement to support the organization's liaison process by facilitating requests for approval, coordinating cross-functional collaboration, and ensuring timely and effective execution.
  1. Partners with the members of the Operations Division to oversee and optimize the organization's contract process, ensuring consistent approaches, timely annual updates, effective monitoring, and streamlined processes and efficiencies.
  1. Manages the legal review request process, partnering with staff and ENA's legal counsel to effectively triage and streamline requests, ensure appropriate matters are routed for legal review, and facilitate timely follow-up and resolution.
  1. Maintains organizational budgets and expense reports within Concur, ensuring that statement cycles are met.
  1. Develops and maintains effective administrative processes, procedures and systems.
  1. Contributes to the workplace culture that is consistent with the association's culture statement and emphasizes the mission, vision and values of the organization.

QUALIFICATIONS

Required:
  • Bachelor's degree in business management or an equivalent of education.
  • 5+ years of experience in executive administration, office management, executive services, operations, or a related field.
  • Demonstrated experience supporting senior executives.
  • Project management experience

COMPENSATION & BENEFITS

This position is a salaried/exempt position. The targeted salary range is $100,000 - $120,000 annually. Compensation is determined based on a range of factors, including experience, education, certifications or specialized training, skill level and operational needs.

PHYSICAL DEMANDS

Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate verbally and in writing in an exchange of information; collect, compile and prepare work documents; set-up and maintain work files, participate in meetings. Use of the computer, with repetitive motion, and telephone is approximately 80%.

WORKING CONDITIONS

Majority of work is performed in a general office environment. Occasional travel may be required.
