Full Job Description
Manager, Executive Office (Strategy & Digital) provides trusted, high-level administrative support to the Chief Strategy & Digital Officer, managing time, priorities, and initiatives with precision, discretion, and foresight. This role requires a proactive, quick-learning professional with exceptional organizational skills, strong attention to detail, and a positive, can-do mindset. The role combines high-level executive support with a partnership-oriented approach, working closely with the Chief Strategy & Digital Officer to manage priorities, drive follow-through, and collaborate with leaders and teams across the organization.

In addition, this role provides administrative and coordination support to the Strategy and Digital Transformation teams of approximately 25 employees and assists with key people-related processes, including organizing materials and timelines for performance review cycles and other planning activities. The ideal candidate thrives in a structured, fast-paced environment, effectively manages multiple priorities and urgent demands, and takes pride in enabling executive and team success through thoughtful, well-executed support.

This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.

Job Description

Executive & Strategic Support
  • Provide high-level support to the Chief Strategy & Digital Officer, by managing priorities, optimizing time allocation, and ensuring alignment against key business objectives
  • Act as a strategic partner by anticipating needs, identifying gaps, and proactively driving solutions to support executive effectiveness
  • Anticipate needs and prepare materials for meetings, presentations, correspondence, and calls
  • Draft, proofread, and manage confidential correspondence, reports, and presentations
  • Partner closely with members of the Strategy and Digital Transformation teams to gather, synthesize, and communicate information
  • Lead special projects and cross-functional initiatives, track progress and ensure follow-through on key deliverables
  • Responsible for maintaining internal program and trainings compliance
  • Liaison with Human Resources to lead People initiatives within the department
  • Make independent decisions in a timely manner that aligns with executive priorities

Operational & Administrative Excellence
  • Manage competing priorities and resolve issues with sound judgment, urgency, and discretion
  • Analyze and synthesize information from multiple sources into clear summaries, insights, and action items
  • Track and support budgets, timelines, and operational updates
  • Evaluate and analyze invoices to optimize spend
  • Maintain organized digital and physical files, ensuring secure handling of sensitive materials
  • Submit timely and accurate expense reports

Communication, Professionalism & Confidentiality
  • Serve as a trusted point of contact for internal and external stakeholders, screening and responding to communications on behalf of the Chief Strategy & Digital Officer
  • Facilitate clear, timely communication across executives, teams, and partners
  • Handle sensitive information with the highest level of confidentiality and professionalism
  • Build strong relationships and collaborate effectively with other Assistants and foster a culture of teamwork and mutual respect

Events & Coordination
  • Plan and execute department meetings, offsites, and events, ensuring seamless logistics and budget discipline
  • Coordinate internal and external meetings and ensure follow-through on action items
  • Oversee complex calendar management, ensuring alignment with business priorities and maximizing executive effectiveness
  • Manage travel planning and logistics with a proactive, solutions-oriented approach, including contingency planning support


Qualifications
  • Minimum of 8 years of executive-level administrative experience supporting senior leadership, with a proven ability to manage high-volume, complex responsibilities
  • Bachelor's degree preferred; equivalent work experience with a demonstrated record of success in high-level executive support will be considered
  • Proven ability to operate with autonomy, exercise sound judgment, and influence outcomes
  • Advanced proficiency in Microsoft Office, including the ability to create presentations, manage calendars, and develop basic reports
  • Exceptional organizational skills, attention to detail, and sense of urgency, with the ability to manage competing priorities
  • Demonstrated ability to handle confidential information with discretion, tact, and professionalism
  • Strong written and verbal communication skills, with the confidence to interact effectively with senior leaders and external partners
  • Experience working in a fast-paced, matrixed organization supporting cross-functional teams is strongly preferred
  • Experience with tools such as SAP Concur, Power BI, Smartsheet, and/or Oracle Fusion is a plus, but not required

Pay Range: $100,000 - $110,000 and may include a discretionary bonus. Final compensation will be dependent upon skills & experience.
