Position Summary

The Manager, Enterprise Portfolio Management (PMO) is a hands-on individual contributor role within a startup PMO, responsible for both day-to-day PMO administration and strategic portfolio management.

This role requires a leader who can operate at both a detailed execution level and a strategic level, with a significant focus on managing and administering the ServiceNow Strategic Portfolio Management (SPM) module. Prior, hands-on ServiceNow SPM experience is critical to success in this position.

The individual will own PMO operations, governance processes, intake workflows, and portfolio reporting, while building a deep understanding of business priorities to deliver meaningful insights, dashboards, and decision support. This role will also help establish a strong PMO foundation with the potential to grow into a team leadership role as the function matures.

Key Responsibilities

ServiceNow SPM Ownership & Administration (Critical Focus)
  • Serve as the primary administrator and business owner of ServiceNow Strategic Portfolio Management (SPM)
  • Perform hands-on configuration, maintenance, and administration of SPM modules, including demand, project, portfolio, resource, and reporting
  • Ensure data accuracy, completeness, and integrity across all SPM records
  • Manage workflows, intake forms, approvals, and system governance within ServiceNow
  • Develop and maintain dashboards, scorecards, and executive-level reporting directly within SPM
  • Monitor system usage and drive adoption, usability, and process compliance
  • Partner on enhancements while owning day-to-day system operations and administration
  • Ensure ServiceNow SPM serves as the single source of truth for portfolio data


PMO Operations & Administration (Primary Day-to-Day Work)
  • Execute and manage core PMO administrative activities, including portfolio tracking, updates, and documentation
  • Own project intake and demand management workflows, ensuring proper documentation, evaluation, and approvals
  • Prepare and distribute governance materials, status reports, and executive presentations
  • Coordinate governance forums, track decisions, and follow up on action items
  • Maintain and enforce PMO standards, templates, and processes
  • Ensure high-quality data inputs and reporting consistency across the portfolio
  • Drive operational discipline and adherence to PMO processes across stakeholders


Portfolio Reporting & Strategic Insights
  • Build and maintain dashboarding and reporting within ServiceNow SPM
  • Translate portfolio data into clear, actionable insights for leadership
  • Provide visibility into portfolio health, delivery performance, risks, and dependencies
  • Support Monthly Business Reviews and planning cycles through data-driven reporting
  • Deliver portfolio analysis and recommendations to support prioritization decisions


Strategic Portfolio Management & Business Partnership
  • Partner with business and IT leaders to understand priorities and ensure alignment of investments to strategy
  • Support portfolio prioritization and governance decision-making
  • Provide insight into trade-offs, capacity constraints, and investment impacts
  • Help shape and evolve PMO governance and operating model


Resource & Demand Coordination
  • Track and manage demand intake pipeline and backlog
  • Support capacity planning and resource visibility through accurate data and reporting
  • Highlight resource constraints and delivery risks to leadership


PMO Growth & Evolution
  • Contribute to building a scalable PMO in a startup environment
  • Identify and implement opportunities for process improvement and automation
  • Support the future development of a team of project managers and analysts


Qualifications

Experience (Required)
  • 7-10+ years in PMO, portfolio management, program management, or governance roles
  • Direct, hands-on experience administering ServiceNow SPM / PPM (required and critical)
  • Proven experience managing SPM configurations, workflows, dashboards, and reporting
  • Strong background in PMO operations, reporting, and administrative process management
  • Experience supporting executive stakeholders with data-driven insights and reporting


Preferred Experience
  • Experience in a startup or evolving PMO environment
  • Strong skills in dashboard design, analytics, and portfolio reporting
  • Experience with demand management, intake processes, and resource planning

Total Rewards
The compensation range for this position is $112,700.00 - $169,100.00, depending on experience. This position may be eligible for performance based bonus plan.
