Summary:

The Contracts Administrator assists Presbyterian Healthcare Services control costs, drive service excellence, and mitigate risks to gain increased value from our vendors throughout the contract management lifecycle. The Contracts Administrator will work in a collaborative environment that values creative thinking, problem solving, consistency, intellectual curiosity, and a growth mindset. The Contracts Administrator will work closely with internal business, project managers, Finance, Supply Chain, Legal, outside counsel, and external vendors to ensure compliance with all relevant laws, regulations, and PHS policies and procedures. The Contracts Administrator will manage and draft several dozen complex contracts per month. This position will be responsible for the negotiation, drafting, administration and monitoring of contacts including such matters as price, delivery and other terms and clauses involving significant responsibility and liability. Interprets the terms and conditions of contracts including fiscal and legal implications and advises management on all significant procedures and regulations affecting the contract. Acts as consultant/liaison with internal and external customers on all matters affecting contractual agreements. Responsibilities:

  • Primary duties of this role will include preparing, drafting, and tracking new agreements, renewals, and amendments essential to the business.
  • Reviews and analyzes contracts to identify potential risks and liabilities.
  • Ensures that the proper contract template and/or supplier agreement is identified and utilized and that tracking of all reviews is documented in the contract management database.
  • Engages Contracts Manager regarding any changes to contracts beyond standard pre-approved modifications.
  • Contract life cycle functions, including:
  • Ensures contracts have required attachments, supporting documents and are consistent with system guides and contract policies.
  • Fully utilizes contract database software.
  • Teamwork and Customer Service.
  • Serves as a resource to other departments, which includes being the primary liaison between Legal Services and Supply Chain Sourcing Managers.
  • Provides exceptional internal and external customer service and communication in person, via email, phone, and responds to requests in a timely manner.
  • Attends meetings as requested.
  • Maintains the highest level of professionalism and confidentiality.
  • Escalates and resolves issues as appropriate.
  • Keeps abreast of changes in laws and regulations regarding healthcare and other applicable laws.
  • Researches and summarizes issues as requested, utilizing federal and state sources, PHS policies and procedures, bylaws, the Joint Commission and/or other accreditation organization standards, and other authorities applicable to PHS and/or its Affiliates.
  • Acts as a team player.


Qualifications:

  • Bachelors degree in paralegal studies, business, or healthcare administration required; Paralegal Certificate preferred.
  • Minimum of 8-10 years experience in drafting and negotiating complex legal contracts and the ability to perform and deliver high quality legal contracts in a fast-paced environment required.
  • Effective communication-verbal and written, time management, analytical and interpersonal skills required.
  • Advanced level knowledge using Microsoft Office, Microsoft SharePoint, Meditract or other document management software required.
  • Proven multitasking ability; resilience when faced with multiple deadlines and competing priorities required.
