US REMOTE - EAST COAST
As a Manager for Bid and Proposal Operations within the Go-To-Market (GTM) organization, you will serve as the central hub for managing all incoming Requests for Information (RFI), Requests for Proposal (RFP), and Requests for Quote (RFQ), as well as coordinating Security and Due Diligence Questionnaires (DDQ).
This new role will take ownership of the end-to-end proposal lifecycle, lifting the administrative and writing burden off our technical teams. You will coordinate inputs from various departments-including Sales, Sales Engineering, Deal Desk, Legal, Finance, InfoSec and HR to deliver highly polished, competitive, and timely responses. Based in the US East time zone, you will be uniquely positioned to support global opportunities and sales teams.
WHAT YOU'LL DO:
- Process Development: Design and implement the end-to-end operating model for proposal submissions, including: a go/no-go qualification framework to evaluate strategic fit, resource availability, and win probability before committing to an RFP; documented intake and triage procedures for all incoming RFx requests; standardized submission workflows covering kickoff, review gates, approval routing, and final delivery; and clear RACI definitions for how Sales, Sales Engineering, Legal, InfoSec, and other stakeholders interface at each stage of the process.
- People Manager: Directly manage and develop the Proposal Operations team. Set clear performance goals, provide regular coaching and feedback, and create growth opportunities for your team. As the function scales, contribute to headcount planning and the hiring of additional team members.
- End-to-End RFx Management: Project manage the entire lifecycle of RFIs, RFPs and RFQs from initial receipt and triage to final submission. Establish timelines, assign deliverables, and ensure strict adherence to deadlines
- Cross-Functional Coordination: Act as the primary liaison coordinating multiple internal teams. You will expertly negotiate resources across numerous departments and functions to gather the necessary subject matter expertise for complex bids.
- Technical Writing & Content Creation: Leverage your background as a technical writer to translate complex technical jargon-like SaaS architectures, hybrid access models, and data governance-into clear, compelling, and persuasive proposal language.
- AI Automation & Knowledge Management: Act as the administrator for our proposal content library. You will utilize advanced AI automations, specifically Claude Cowork, to ingest previous responses, generate first drafts, refine tone, and continuously optimize our proposal workflows.
- Quality Assurance: Review and edit all proposal content for clarity, consistency, formatting, and alignment with Egnyte's overarching brand messaging and strategic value propositions.
YOUR QUALIFICATIONS:
- 3-5+ years of experience in proposal coordination, technical writing, bid management, or a similar function within a SaaS or B2B technology company.
- Prior experience directly managing or mentoring at least one team member preferred; demonstrated ability to build and grow a high-performing proposals function.
- Must be based in the US East time zone to effectively span communication between our North American and EMEA teams.
- Background working closely with pre-sales or sales engineering teams is highly preferred
- Technical Writing Background: Exceptional writing, editing, and proofreading skills, with a proven ability to distill highly technical concepts into accessible business language.
- AI Tool Proficiency: Strong, hands-on experience utilizing generative AI tools and automations-specifically Claude Cowork (or similar enterprise AI platforms) for content generation, prompt engineering, and knowledge base management
- Project Management: Impeccable organizational skills with the ability to manage multiple complex, high-stakes projects simultaneously under tight deadlines.
- Cross-Functional Leadership: Proven ability to drive results and maintain momentum across diverse teams without direct reporting authority.
- Communication: Ability to communicate confidently with executives, technical staff, and legal teams, tailoring your approach to secure the necessary inputs quickly and efficiently.
COMPENSATION:
- Our compensation reflects the cost of labor across multiple U.S. geographic locations, and pay varies based on defined markets. The standard base pay range for this position across the U.S. is $135K to $145K annually. Pay varies by work location and may also be dependent on job-related skills, knowledge, and/or experience.
