Job Description

  • Collaborates with the division chief, program manager, subject matter experts, and other personnel in the execution of the capability development programs and projects.
  • This assistance encompasses three areas, in order of daily significance, namely program management assistance, administrative & office management
  • Assist the Government staff with the execution of various assigned project and program management as well as administrative management activities, including but not limited to, the creation, editing, maintenance or distribution of project or program documentation, participation in project or program meetings and complying with reporting requirements.
  • Support organizational actions during the creation, testing and execution of the COOP and other emergency plans including readiness exercises executed at the direction of the 88th Air Base Wing, AFLCMC or AFMC Commanders or Mobility and Training Aircraft Directorate leadership.

Program Management Support
  • Analyzing CDRL items submitted by various OEM contractors for compliance with contract provisions;
  • Participating in various program and project meetings including, but not limited to planning discussions, site visit planning, contract kickoff meetings, system requirements reviews, program management reviews, system design reviews, demonstration and acceptance plan reviews, technical interchange meetings, prototype compliance reviews, design maturation reviews, government technology demonstrations and demonstration report reviews;
  • Participating in program or project-related team meetings at OEM contractor locations or other Government facilities as needed including occasional overnight travel;
  • Tracking production of the division's monthly report to the AFPEO/MB, coordinating inputs and edits and providing the final version to the division chief for submission.
  • Editing, coordinating and publishing program meeting minutes; briefings; and documents
  • Acting as "project scribe" in meetings including operating conference room computers and changing data dynamically in documents, project schedules, spreadsheets or presentations as directed by the division chief, program manager or other personnel;
  • Reformatting various program management documents prepared under AF 63-series or DoD 5000-series directives into official USAF formats including preparing final versions for electronic or manual signature;
  • Coordinating programmatic documents with the DAG, PEG or Front Office Group (FOG);
  • Assisting with creation/update of schedules using the Government-licensed version of Microsoft Project;
  • Creating graphic charts of programmatic using data in spreadsheets following division staff guidance regarding content and display;
  • Coordinating participation of various military, civilian, contractor and industry personnel for program meetings

Additional Support
  • Managing SOCCER and other suspense tasking receipt, tracking and submission process for the division;
  • Assisting the division chief with managing the self-assessment program including using the MICT;
  • Creating and editing administrative, status and miscellaneous division documents including formatting to meet AF correspondence standards;
  • Managing SharePoint site content;
  • Managing the division's official file plan and records;
  • Assisting the Government and Contractor personnel with arranging travel reservations and submitting travel voucher submission related to official trips, and;
  • Creating models using Microsoft Visio or other applications to document existing and proposed business methods for continuity planning and process improvement.
  • Ensuring routine office supplies are stocked for use by division personnel
  • Ordering office supplies on line from authorized vendors, and;
  • Coordinating with facility managers on division office and common area issues.

Required Experience

One of the following combinations of education/experience:
    • Advanced Degree (Master of Arts (MA)/Master of Science (MS)) and twelve (12) years of experience in the respective technical/professional discipline being performed, five (5) years of which must be in the DoD - OR -
    • BA/BS degree, and fifteen (15) years of experience in the respective technical/professional discipline being performed, five (5) of which must be in the DoD - or -
    • HS Diploma, and twenty (20) years of directly related experience, eight (8) of which must be in the DoD
  • U.S. Citizenship required; Ability to obtain and maintain a TS/SCI Security Clearance required.
