Job Summary

Maintenance Parts & Planning Lead owns two things that keep JonnyPops' Elk River facility running reliably: the maintenance parts supply chain, and the maintenance planning process. This role is accountable for having the right part, in the right place, at the right cost, when a technician needs it - and for making sure preventive maintenance and facilities work get planned into the production schedule proactively, instead of fought over at the last minute.

This is a hands-on planning and inventory role, not a people-management role over the technician team. You'll partner closely with the Maintenance & Reliability Manager, Production/Plant Planning, and Facilities to keep equipment reliable without disrupting output - and you'll own the FIIX CMMS parts and planning modules as the business owner of that system for JonnyPops.

Essential Duties & Responsibilities

Parts Inventory & Cost Management
  • Parts room ownership. Own the maintenance parts room end-to-end: organization, labeling, security, cycle counts, and min/max stocking levels for all critical spares.
  • Ordering & vendor management. Source, quote, order, and expedite parts; manage vendor relationships, lead times, and pricing to keep both service and cost on target.
  • Service level & cost - your two headline metrics. Own parts service level (right part, in stock, when needed) and parts/inventory cost (carrying cost, price variance, obsolete/excess stock) as your two core metrics - report both regularly.
  • Continuous cost improvement. Identify and act on cost-saving opportunities: standardizing spares across assets, consolidating vendors, right-sizing stocking levels using asset criticality data.

Maintenance & Facilities Planning
  • PM scheduling. Own the PM (preventive maintenance) schedule in FIIX - plan, kit (parts ready and staged), and sequence PM and facilities work so it's ready to execute the moment there's a window.
  • Production planning integration. Partner directly with Production/Plant Planning to slot PM, facilities, and capital work into the production schedule with minimal impact to output - you are the connective tissue between "what maintenance needs to happen" and "what the plant is running."
  • Planning cadence. Run a recurring maintenance planning cadence with the Maintenance & Reliability Manager, Production Planning, and Facilities to look ahead, resolve conflicts, and lock in the coming weeks' schedule before they become urgent.
  • Backlog & attainment. Track and report PM attainment, schedule compliance, and work-order backlog; flag risks to reliability or production before they cause downtime.

FIIX System Ownership
  • System administration. Serve as the business owner and administrator of the FIIX CMMS parts and planning modules: bills of materials, spare-part-to-asset linkages, min/max settings, work order templates, and reporting.
  • Data integrity. Keep asset, parts, and criticality data clean and current so the rest of the maintenance team can trust what's in the system.
  • System partnership & training. Partner with IT and business users to optimize and train on applicable FIIX, NetSuite, and other tools and processes, including the use of AI tools to optimize processes and advance analytics.

Business Partnership & Proactive Planning
  • Cross-functional partnership. Act as a business partner to Production, Plant Planning, Facilities, and Finance/Procurement - translating parts and scheduling tradeoffs into decisions the business can act on.
  • Proactive, not reactive. Bring a forward-looking planning mindset: anticipate parts needs, lead times, and schedule conflicts weeks out rather than reacting to them the day they hit.
  • Continuous improvement. Lead or contribute to continuous improvement projects - kitting, criticality-based stocking strategy, vendor consolidation, planning-cadence improvements - with fact-based recommendations backed by FIIX data.

Food Safety Responsibilities
  • Coordinate with the FSQA team when scheduling maintenance or facilities work in areas that may impact food safety or quality, and maintain accurate records to support GMP and SQF documentation.
  • Ensure parts ordered for food-contact equipment meet food-grade specifications (e.g., food-grade lubricants and materials) and are documented appropriately.
  • Follow all systemwide GMPs and facility food-safety and visitor protocols when on the plant floor or in the parts room.

Physical Demands & Work Environment

  • Primarily on-site at the Elk River manufacturing facility, splitting time between the parts room/office and the plant floor.
  • Occasionally lifts and/or moves up to 50 lbs (parts handling, receiving, cycle counts).
  • Regularly stands, walks, and reaches; works in an environment that may include exposure to noise, machinery, and temperature variation when on the plant floor.

Minimum Qualifications
  • Education - Bachelor's degree in Supply Chain, Business, Engineering, or a related field; or equivalent experience.
  • Experience - 3-5+ years in maintenance planning, MRO/spare-parts inventory management, or supply chain within an industrial or manufacturing environment; food/CPG manufacturing experience is a plus.
  • CMMS experience - Hands-on experience administering a CMMS (FIIX or similar) - not just using one; comfortable owning system data, not only entering it.
  • Planning track record - A track record of managing parts inventory against both service-level and cost targets, and of coordinating maintenance schedules with a production or operations planning function.
  • Data skills - Strong Excel/data skills; comfortable building or maintaining reporting and dashboards to support fact-based decisions.
  • Organization & communication - Excellent organizational skills and cross-functional communication - you'll be the connective tissue between maintenance, production planning, and finance.
  • Food safety exposure - Familiarity with GMPs and food manufacturing environments is a plus.

Compensation

Pay Range: $80,000-$120,000

Hired candidates may be eligible for additional compensation in the form of bonuses, based on role and performance.
