OverviewResponsible for overseeing the daily operations of a Staff Counsel law office, ensuring administrative efficiency and compliance with legal and regulatory standards. Manage legal assistants and paralegals, support the Managing Attorney, and coordinate with internal departments to maintain smooth office functions. Responsibilities- Supervise administrative staff, including performance evaluations, workflow optimization, training needs and assessment. Support development and succession planning.
- Review workflows to ensure alignment with legal and technological changes, suggesting and implementing changes as needed. Ensure compliance with court filing rules and deadlines.
- Oversee office systems and serve as liaison for IT, legal databases (Legal Matter Management System, web-based court programs, vendor systems, etc.), and accounts payable. Ensure staff proficiency in key systems and maintain the office procedure handbook.
- Plan and coordinate office events such as employee appreciation days, blood drives, Vibes events, teambuilding seminars, and claims/legal meetings. Plan and organize, via cooperation with Claims Managers and Adjusters, Court settlement days and Bulk settlement days, both litigated and non-litigated matters.
- Participate in hiring and onboarding of legal assistants, paralegals, and attorney staff. Conduct interviews and provide orientation and training on office procedures and systems.
- Ensure smooth daily operations of the law office. Manage timekeeping and implement office policies in coordination with leadership. Create, foster and maintain a professional, safe and amicable work environment.
- Maintain office forms and ensure compliance with Federal and State Court Rules. Keep legal management software updated with current court deadlines and mandated forms.
- Manage the office budget, including invoice reconciliation and cost center reporting. Maintain and test the Business Continuity Plan. Evaluate space and resource needs and promote cost-saving measures.
- Prepare and analyze reports related to claims, productivity, compliance, and accounting. Reconcile Collateral Accounting Statements from the courts.
- Manage office facilities and equipment, including procurement, maintenance, and troubleshooting. Coordinate services such as security, janitorial, and IT support.
QualificationsKnowledge and Requirements- Knowledge of State and Federal court rules, procedures and filing requirements.
- Strong organizational skills and the ability to manage multiple deadlines.
- Proficiency in Microsoft Word, Outlook, and Excel is required Experience with legal case management software is required.
- Excellent customer service, written, and verbal communication skills are required
Education and Experience- High school diploma or equivalent required;
- college degree preferred Minimum of 10 years of legal secretary or paralegal experience within the jurisdiction
- Supervisory or management experience is strongly preferred
