JOB DESCRIPTION

Job Summary

The Legal Operations & IP Specialist supports the Legal Department's intellectual property, commercial, corporate, and operational activities. This role serves as a central coordinator for legal and IP workflows, helping ensure visibility, accountability, and timely execution of critical legal and intellectual property processes.

Essential Duties and Responsibilities (other duties may be assigned)

Primary responsibilities include supporting intellectual property portfolio administration, outside counsel coordination, legal and IP reporting, invoice and budget management, document and records management, inventor award administration, workflow tracking, dashboard maintenance, and other legal operations activities.

The position will assist in maintaining visibility into critical legal and IP matters and supporting continuous improvement of legal department processes. The successful candidate will proactively manage dashboards, reports, and workflows to ensure that key legal and IP matters remain visible and progress efficiently.

This position regularly interfaces with internal stakeholders, inventors, Human Resources, Payroll, Accounts Payable, outside counsel, and other business functions.

Education

  • Bachelor's degree preferred.

  • Paralegal certificate a plus but not required.

Experience

  • 3+ years of experience in intellectual property administration, legal operations, paralegal support, legal administration, or a related field.

  • Experience working with outside counsel and legal service providers.

  • Experience with legal, IP, or matter-management systems preferred.

  • Experience preparing reports, dashboards, and operational metrics strongly preferred.

  • Strong follow-through and attention to detail.

  • Advanced Microsoft Excel and Office 365 skills.

  • Ability to create reports, dashboards, and workflow tracking tools.

  • Comfortable working independently in a fast-paced environment.

  • Ability to manage multiple priorities and deadlines simultaneously.

  • Experience with SharePoint and document management systems preferred.

  • Familiarity with patent portfolio management systems (e.g., Clarivate) preferred.

U.S. BASE SALARY RANGE

$85,086.00 - $127,629.00

This base salary range reflects the typical compensation for this role across U.S. locations.

Our salary ranges are determined by role and level; individual pay is determined based on

multiple factors, including job-related skills, experience, relevant education or training, work

location, and internal equity. The range provides the opportunity for growth and progression as

you develop within the role.

Base pay is one part of our U.S. total compensation package which includes eligibility in the

Axcelis Team Incentive bonus plan, and comprehensive benefits package (for regular

employees working 20+ hours a week).
