Polsinelli has a position available for an experienced full-time Legal Administrative Assistant in our Denver office, supporting the Health Care practice group. This position provides comprehensive administrative support to multiple attorneys and plays an important role in the day-to-day organization and operation of the practice group.
CORE RESPONSIBILITIES- Manage extremely busy calendars, schedule meetings, coordinate conference calls, reserve conference rooms, prepare meeting materials, and handle other meeting logistics.
- Prepare, revise, format, proofread, and finalize correspondence, memoranda, presentations, reports, and other documents.
- Manage electronic and physical files, including maintaining organized matter files, and assisting with document filing and record management.
- Assist with client billing and related administrative reporting, including reviewing billing materials, coordinating edits, and supporting timely completion of the billing process.
- Prepare and submit attorney expense reports and assist with other reimbursement and administrative documentation.
- Coordinate attorney travel arrangements, including transportation, lodging, itineraries, reserving visiting attorney offices, and related scheduling.
- Manage incoming communications and correspondence, route requests appropriately, and assist with routine follow-up.
- Maintain attorney contacts, distribution lists, and other administrative records.
- Assist with client and matter intake processes and other administrative requirements associated with opening and maintaining new clients and matters.
- Work collaboratively with attorneys, administrative staff, and other departments to ensure administrative needs are handled accurately and efficiently; provide assistance with special projects as needed.
REQUIREMENTS- 5+ years of legal administrative assistant, legal secretary, or executive assistant to C-Suite or senior management experience. Law firm experience strongly preferred.
- Excellent working knowledge of MS Office Suite, including expertise in MS Word, Excel, PowerPoint, and particularly Outlook.
- Strong calendar management, scheduling, and organization skills with the ability to manage and prioritize multiple administrative tasks and competing deadlines with accuracy and attention to detail.
- Resourcefulness and initiative in meeting deadlines, following through on assignments, achieving goals, anticipating needs, and being dependable and service orientated with a willingness to assist wherever needed.
- Strong interpersonal and communication skills with the ability to interact in a professional manner to develop a strong rapport and working relationships with clients, staff, and other attorneys.
- Ability and willingness to work both individually and in a team setting.
- Ability to handle confidential and sensitive information
- Strong proofreading and typing skills.
The budgeted salary range for this position is $95,000 - $105,000.
