Position Overview

The Distribution Team Lead is responsible for supervising the daily activities in the print center and directing the work assigned to the Distribution Assistants. The Distribution Team Lead is also responsible for assisting the Distribution Manager with the safety, quality, performance, and overall experience of meeting client's distribution needs. The Team Lead provides input and supports the performance review process. This position will serve as a backup for essential Distribution Manager responsibilities.

  • The Distribution Team Lead will have direct supervision of the production floor.
  • Responsible for assigning work shift(s) to ensure proper coverage on the production floor.
  • Coordinate all training assignments associated with the Distribution Assistant role and work with Distribution Manager to develop and implement changes to the department Standard Operating Procedures.
  • Responsible for opening and closing responsibilities for the print center as assigned.
  • Responsible for approving or adjusting Distribution Assistant's timecards and approving time off requests.
  • Provide coaching, mentoring, and training to develop team members for career progression and learning. Conduct and participate in regular 1-1 meetings.
  • Assist the Distribution Manager with evaluating the team's performance.
  • Provide coaching and sit in on performance discussions with employees.
  • Facilitate team huddles and work with the DM to set expectations and team goals.
  • Collaborate with the Support team to ensure timely payroll delivery. Duties include monitoring payroll through delivery and following up on delivery issues with shipping vendors and internal teams.
  • Effectively communicate with internal departments when handling client issues associated with production defects, delivery issues, or "same day" payrolls.
  • Assigns the nightly audit and signs off for accuracy. May take corrective action on identifiable issues along with sending the tracking files promptly.
  • Responsible for communication with shipping couriers as needed.
  • Respond and send e-mails related to CRM inquiries for any quality defects, tracking queries, delivery issue(s) and remediate the issue along to include follow-up accordingly to determine root cause.
  • Ability to develop and share best practices with peers across Distribution print centers.
  • Ability to problem solve resource, technical, and equipment issues along understanding when to escalate as needed.
  • Assist with tracking metrics related to quality error(s) and internal errors for a distro location.
  • Assist the Distribution Manager with the SOC audit process by ensuring compliance of accuracy and storage of data. Assist the Distribution Manager with ordering critical supplies and maintaining proper inventory levels.
  • Ensure Paylocity's best interests are represented in each interaction with vendors or suppliers.
  • Assist the Distribution Manager with planning and implementation of all quarter end and year end responsibilities.
  • Available to receive and respond to Pager Duty notifications if the need of the business is required.
  • Flexible to meet the needs of the business hours, especially during Peak shipping and during Year End.

Education and Experience Requirements:
  • High school or equivalent diploma. Experience supervising a team of 10+ employees or 3+ year of experience directly managing others.
  • Experience in conflict resolution and team building and development.
  • Ability to motivate, coach, and lead in a team environment driving for desired results.
  • Strong verbal and written communication skills.
  • Excellent organization skills and attention to detail.
  • Ability to work in a high-volume environment.

Preferred:
  • Associates or bachelor's degree preferred.
  • Experience managing suppliers and critical production equipment.
  • Familiarity with payroll processing applications, Microsoft Office, and Shipping Software.
  • Industry experience in digital print, logistics, and fulfillment of payroll production, in a tightly controlled, audited environment is preferred.
  • Experience with process improvement, kaizens, or six sigma initiatives is a plus.

Physical Requirements:
  • Mobility is required to stand for long periods, sitting, walking, and bending.
  • Ability to regularly lift, hold and carry objects weighing up to 30 pounds.
