Responsibilities

  • Oversee and supervise team, including training and performance evaluations.
  • Monitor and manage staff workload and assignment completion.
  • Research and report on statistical data.
  • Provide technical support and guidance to intake coordinators as needed.
  • Maintain accurate records of closed/inactive cases.
  • Ensure compliance with HIPAA regulations and safeguards over client records.
  • Participate in the implementation of new software solutions.

SALARY RANGE (Non-Bilingual): $3,012.59 - $4,450.97 Bi-weekly; $78,327.34 - $115,725.22 Annual

SALARY RANGE (Bilingual): $3,132.59 - $4,570.97 Bi-weekly; $81,447.34 - $118,845.22 Annual*

REPORTS TO: Manager, Administrative Services

Under general direction, provides supervision to assigned staff. Coordinates day-to-day workflow of intake coordinators to meet Intake and Assessment requirements and department's objectives. Responsibilities includes but are not limited to:
  1. Interview, train, schedule, supervise and evaluate performance of assigned staff. Provide necessary staff support when required by vacancies/scheduling/work flow.
  2. Monitor staff workload; coordinate completion of required assignments; monitor whether staff are meeting requirements.
  3. Research, gather, analyze and report statistical data.
  4. Provide technical support to staff, as required.
  5. Support Intake Coordinator team with workflow and day-to-day tasks.
  6. Responsible for overseeing closed/inactive/reactivated cases and maintaining accurate records.
  7. Ensure data entries are accurate
  8. Responsible for overseeing implementation of new software for the intake and assessment team.
  9. Safeguarding client records and ensuring that everyone complies with the HIPAA rules and regulations
  10. May act as point of contact for manager on a as needed basis.
  11. Perform other related duties as assigned.

MINIMUMIN QUALIFICATIONS:
  1. BA/BS Degree in human services or related field OR BA/BS in an unrelated human services field plus 2 years of experience providing similar functions in a human services agency.
  2. Staff supervision including performance evaluation preferred.
  3. Fluency in English and one of the following languages preferred: Spanish, Korean, Tagalog, Vietnamese, Cantonese or Mandarin.*
  4. Working knowledge of Microsoft Office Suite, particularly, Word and Excel
  5. Preferred certifications: Microsoft Office Specialist (MOS): Excel Expert • Microsoft Office Specialist (MOS): Word Expert
  6. Demonstrated ability to analyze, plan, and coordinate workflow.
  7. Ability to work independently or as part of a group.
  8. Excellent verbal and written communication skills.
  9. Accuracy and attention to detail a must.
  10. Demonstrate cultural awareness and sensitivity and an ability to work effectively with culturally diverse populations.
