Full Job Description
The Information Governance Analyst supports our IG strategy including the Information Lifecycle Management of all Client and Firm assets. Evaluates, designs, recommends, creates and implements/improves IG processes and systems. Performs analytical or interpretive tasks. Develops and manages planning and tracking of projects to ensure that goals and objectives are accomplished. Utilizes project management tools and methodologies which includes providing communication between stakeholders and team members to meet project requirements and timelines. Responsibilities may include recommendations of process and system improvements, facilitating problem resolution, creating process improvement documentation, writing procedures, training and understanding and maintaining software systems. Essential functions include:

  • Analyzes detailed functional requirements
  • Designs and recommends process improvements and systems enhancements
  • Documents analysis results and recommendations. Begins to use tools such as process flow diagrams, swimlane diagrams, system specifications, etc.
  • Create/maintain process documentation for related applications and associated workflow procedures
  • Responds to user issues and requests routed by the Help Desk Analysts
  • Provides unit and integration testing by providing test plan recommendations and executing written test plans
  • Provides input for training plans and advises and trains users on proper and effective use of new and existing processes and systems
  • Provides knowledge regarding governance, ethics and security/privacy
  • Manages projects:
    • With assistance manages single-site projects
    • Develops and implements project plans which includes managing timelines, costs and quality, scheduling project meetings, setting agendas, preparing and communicating project status
    • Prepares analytical reports and provides project updates to the appropriate person(s) throughout all phases of the project including project close-out
    • Leads and facilitates project team meetings
    • Defines and prioritizes tasks with input from others
    • Works with peers to coordinate and complete project tasks
    • Provides measurements and controls that validate process improvements
  • Has expertise in all of our IG systems and can leverage this knowledge when improving processes or maintaining systems
  • Develops and implements IG policies, procedures and processes that provide security & confidentiality, improve client service, reduce liability, improve efficiencies and reduce costs.
  • Continually improves our ILM in the areas of information asset creation, storage, management and disposition.
  • Works as a team with the firms Risk Management Team, Compliance officer, General Counsel and IT Security Team.
  • Assists with client audits
  • Provides subject matter expertise for IG initiatives
  • Implement ethical walls and legal holds for all data assets


OFFICE DUTIES WHEN APPLICABLE

  • Sorts, classifies, and files various media types.
  • Answers department Help Line and respond to email requests.
  • Retrieves and distributes requested files or filing.
  • Prepares additional sub-files within the file classification plan.
  • Prepares and indexes material for transfer to off-site storage. Creates and maintains electronic and imaged records. Includes the preparation of physical documents, scanning and profiling.
  • Administers the transfer of physical and electronic client files outside of the firm, including documentation and review.
  • Supporting the IG functions of Mail Scans
  • Performs other duties as required.


ONBOARDING FOCUS

This position is responsible for assisting in the onboarding of files and data for new attorneys and clients. These duties include:

  • Receiving and logging incoming data
  • Importing data to approved repositories, including metadata uploads
  • Meeting with attorneys and support staff to understand file mapping and priorities
  • Provide status updates to key stakeholders
  • Coordinate with other law firms to receive data, monitor progress and resolve issues
  • Position requires a high level of technical aptitude, including expertise in Excel


POSITION REQUIREMENTS

  • 2-year degree required; 4-year degree preferred or commensurate professional and educational experience
  • 3 years' relevant experience required
  • Excellent analytical skills required
  • Experience mapping functional business requirements into a business system solution preferred
  • Demonstrated leadership in managing small to medium projects
  • Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Project and Visio), general database systems and technology in general
  • Knowledge of Electronic Management Systems preferred

  • State of California: $64,000 - $132,000
  • State of Colorado: $59,000 - $106,000
  • State of Connecticut: $51,000 - $130,000
  • State of Illinois: $58,000 - $113,000
  • State of Massachusetts: $64,000 - $123,000
  • State of Maryland: $63,000 - $95,000
  • State of Maine: $44,000 - $101,000
  • State of Minnesota: $64,000 - $107,000
  • Jersey City, NJ: $70,000 - $127,000
  • State of New York: $60,000 - $130,000
  • State of Virginia: $42,000 - $122,000
  • State of Vermont: $64,000 - $122,000
  • State of Washington: $63,000 - $119,000
  • Washington, D.C.: $83,000 - $122,000


The above salaries do not include a discretionary bonus, however bonus opportunities are non-guaranteed, and are dependent upon individual and firm performance.
