Position: HR Systems Analyst
Location: Toronto, London, Waterloo, Hamilton, Ottawa
Employment Type: Full-time, temporary, up to 7 months
This role requires the successful applicant to commit to an in-office work arrangement up to 5 days a week beginning in 2027.
Salary Grade: N06 | $80,000. -$100,000.00
About the role
As the Human Resources Systems Analyst, you will provide business analysis, technical consultation, and system administration services in support of all HR systems. You will serve as the front-line point of contact for HR system-related enquiries and act as a critical link between business clients and IT.
You will play an important role in ensuring our HR systems are aligned with business requirements, managed effectively, tested thoroughly, and supported with a strong focus on quality, security, and user experience.
Key responsibilities
Drive business and systems improvement
- Identify, evaluate, and support the development of cost-effective systems and procedures that improve efficiency and meet business requirements.
- Conduct fit-gap analysis to assess whether system customizations are needed or whether business process improvements can address identified needs.
- Participate in business process improvement initiatives undertaken alongside system enhancements.
- Provide consultative support to clients within Human Resources and across the WSIB to support requirements gathering and business issue resolution.
- Liaise between business clients and IT to translate business requirements into technology solutions.
- Act as project coordinator during system upgrades and enhancements.
Administer and support HR systems
- Maintain and administer all HR systems and analyze known issues.
- Serve as the gatekeeper prior to IT involvement when business users experience system issues, investigating root causes and determining when escalation is required.
- Manage system security access and perform security audits, both internally and in partnership with external auditors.
- Work with IT Security to establish and maintain system access standards.
- Update and maintain system database information as communicated by business partners.
Lead quality management and testing
- Lead Quality Management (QM) processes for all HR systems and report outcomes to the Manager, HR Systems.
- Coordinate all system testing conducted by end users and identify required participants prior to launch.
- Identify test requirements and criteria, and develop test plans, scripts, and cases.
- Communicate and work with business testers to ensure understanding of and compliance with test plans.
- Review and investigate testing failures and communicate outcomes to business testers.
- Analyze test results independently and provide recommendations regarding launch readiness.
Promote best practices and user enablement
- Serve as a centre of excellence for HR systems by promoting best practices and compliance with IT standards.
- Ensure system security aligns with corporate policies and IT best practices.
- Support system data integrity by promoting best practices for batch processing and end-user data entry.
- Follow quality management standards to ensure the accuracy of test results.
- Develop and maintain training materials and deliver training to end users.
- Respond to end-user enquiries regarding system usage and capabilities.
What you bring
Education
- University degree in Business Administration, Human Resources, or Information Technology.
Experience
- 3+ years of experience in human resource systems, information technology, and/or human resources.
- 3+ years of Oracle HCM experience is preferred.
- Extensive working knowledge of HR functions including compensation, payroll, benefits, recruiting, policy, and/or HR business services.
- Working knowledge of IT best practices in areas such as database administration, development, security, and/or strategy.
