About the RoleOur US team is growing fast, working alongside national labs, HPC centers, and government agencies to bring quantum computing into the real world - and we're looking for our first dedicated Office Manager to build the operational backbone of our US presence. This is a role with real ownership from day one: you'll take the lead on HR, finance, and admin operations for our US employees, giving them a fast, reliable, local point of contact while working closely with our France-based teams.
What you'll do- Own day-to-day HR operations for the US team: employee questions, onboarding/offboarding, records, and being the first point of contact for HR matters
- Manage US payroll and benefits administration (via Gusto and external partners), including annual benefits renewal and open enrollment
- Prepare, issue, and maintain offer letters, contracts, and amendments, ensuring compliance with state-specific employment requirements
- Own financial administration for the US subsidiary: budget tracking and reporting, expense management, corporate card programs, and vendor/invoice follow-up
- Act as the main liaison with external HR, payroll, and legal/immigration partners to keep the US entity compliant
- Support visa and immigration processes (H-1B, O-1, green card sponsorship) alongside immigration counsel
- Help organize US team events, offsites, and other team-building moments
- Continuously improve HR, finance, and admin processes as the US team grows
What we're looking for- 8+ years of experience in HR, finance, and/or office/administrative management, ideally including time in a startup or fast-scaling company
- Hands-on experience running US payroll and benefits administration (Gusto or similar)
- Solid working knowledge of US employment law across multiple states (wage & hour rules, exempt/non-exempt classification, leave/PTO policies)
- Experience drafting and managing offer letters, employment contracts, and employee records
- Experience with financial administration basics: budget tracking, expense tools, corporate card programs
- Based in the US and authorized to work there
- Excellent written and verbal English communication skills

$100,000 - $130,000 a year
