Job Ad - HR GeneralistJob Summary:The HR Generalist is responsible for administering a wide range of human resources functions that support the full employee lifecycle, including recruitment, onboarding, payroll, benefits administration, leave management, performance management, employee relations, and compliance. This role serves as a key support for employees and managers, ensuring HR programs, policies, and processes are delivered consistently, accurately, and in compliance with applicable federal, state, and local regulations. The HR Generalist manages day-to-day HR operations, maintains employee records and HRIS data, and coordinates payroll and benefits activities. Working closely with the VP of Corporate, the HR Generalist provides guidance on performance management, employee concerns, and policy interpretation while maintaining a high level of confidentiality and professionalism. The position also supports continuous improvement of HR practices, documentation, and compliance programs to ensure a positive and compliant work environment.
Duties and ResponsibilitiesRecruiting and Onboarding (10%)
- Manage the full-cycle recruiting process including posting job ads, screening applicants, coordinating interviews, and providing support throughout the interview process as needed;
- Manage the candidate experience, reference and background checks, and the offer process;
- Oversee the onboarding process, ensuring new-hire paperwork is provided and completed in a timely manner;
- Conduct new hire orientations and administer required training(s);
- Complete employment eligibility documentation and maintain compliant I-9 records;
- Develop job descriptions and determine job requirements, in collaboration with the VP of Corporate and hiring managers; and
- Support the offboarding and termination processes, ensuring proper documentation and compliance with payroll requirements.
Payroll (25%)
- Own end-to-end payroll processing for both semi-monthly and bi-weekly cycles;
- Prepare, review, and submit payroll in a timely manner, in collaboration with the VP of Corporate;
- Resolve timecard discrepancies, adjusting as needed per the employee's request;
- Address questions regarding employee pay or timekeeping requirements;
- Ensure new-hire, status-change, time-off, and termination information is updated such that payroll is completed accurately and on time; and
- Maintain compliant payroll records and support related reporting.
Benefits and Leave Administration (25%)
- Manage the benefits administration function including new-hire benefit elections, annual open enrollment process, qualifying life-event changes, and benefits termination during offboarding;
- Serve as the primary point of contact for employee benefits questions;
- Provide COBRA information to employees as applicable;
- Coordinate with insurance carriers/brokers and maintain accurate benefits records;
- Audit and reconcile monthly insurance invoices against employee payroll deductions;
- Administer and track leaves of absence, including various state and federal leaves;
- Prepare LOA and reasonable accommodations paperwork; and
- Discuss workplace accommodations and restrictions with employees as needed.
Performance Management (15%)
- Provide administrative support to the VP of Corporate with performance reviews, goal-setting, documentation, and performance-improvement plans;
- Ensure the performance management process is administered in a consistent, timely, and well-documented manner, in collaboration with the VP of Corporate;
- Support the VP of Corporate with coaching managers on giving feedback to employees and addressing performance issues;
- Maintain documentation of incidents, policy violations, and behavioral concerns and document all corrective action taken;
- Maintain adequate documentation regarding employee interactions, conversations, and incidents and enter notes in the employment file and/or HRIS; and
- Address safety concerns and safety policy violations with employees.
Employee Support (15%)
- Serve as a first point of contact for simple employee questions and routine workplace issues, escalating higher-level questions to the VP of Corporate as needed; and
- Maintain discretion with discussing employee questions, comments, and concerns and keep employee information confidential.
Compliance Documentation and HRIS Management (10%)
- Maintain accurate and updated personnel files, conducting regular audits to verify compliance;
- Enter employee tax updates, direct deposit changes, and personnel information changes as required in HRIS;
- Assist with policy and procedure development, including employee handbooks, safety manuals, etc.;
- Prepare separation paperwork and ensure final paychecks are provided in a timely manner;
- Conduct audits of personnel files and other employee documents;
- Conduct research as necessary for HR-related compliance and best practices as necessary; and
- Ensure compliance with all applicable wage and hour laws.
