Full Job Description

This role is in office Monday to Thursday.

The Role

As part of the Global Client Marketing function, this role will support both Private Wealth and Institutional Capital businesses by driving centralized operational execution across client engagement initiatives. This position is designed to standardize and scale high-volume workflows across event execution, travel coordination, calendar management, event and budget reporting, and sales support. This role will partner closely with Sales and Marketing teams to ensure consistency, efficiency, and a high-quality experience across all client-facing activities. The successful candidate is highly organized, detail-oriented, and thrives in a fast-paced environment, with strong project management capabilities and the ability to manage multiple priorities simultaneously.

Responsibilities

  • Provide project management and administrative support across the Client Engagement teams supporting both Institutional Capital and Private Wealth businesses, ensuring key initiatives, events, and deliverables remain organized and on track.

  • Manage event calendars, coordinate speaker meetings, and oversee all speaker travel commitments for industry and proprietary events.

  • Maintain event reporting and dashboards, track attendee engagement and meeting activity, compile post-event reporting, and support data management across internal systems.

  • Manage inventory of branded merchandise, promotional materials, and event collateral, including ordering, fulfillment, storage, and distribution across both businesses.

  • Support budget administration by maintaining expense trackers, processing invoices, monitoring conference and event spend, reconciling expenses, and assisting with budget reporting across both businesses.

  • Partner with Sales, Marketing, Compliance, and Corporate Events teams to support conference participation, client meeting coordination, event communications, attendee management, and the successful execution of client engagement initiatives.

  • Support the planning and execution of proprietary events and third-party conferences by managing registrations, internal rooming lists, vendor coordination, merchandise and collateral fulfillment, and distribution of event-related information.

  • Maintain and enhance operational processes, documentation, and tracking tools to promote consistency, efficiency, and scalability across the Client Engagement function.

  • Minimum of 2-3 years of experience, with a focus on investment products or alternative asset classes preferred.

  • Exceptional organizational and project management skills, with the ability to manage multiple projects simultaneously.

  • Strong interpersonal and communication skills, with the ability to build relationships and influence stakeholders at all levels.

  • Creative and strategic thinker with the ability to develop innovative event concepts and solutions.

  • Proficiency in project management software and tools.

  • Ability to work effectively under pressure and meet tight deadlines.

  • Strong attention to detail and commitment to delivering high-quality work.

  • Bachelor's degree in Marketing, Communications, or a related field preferred.

The base annual salary range for this New York-based position will be $85,000 to $100,000. Actual salary offered will be based on the candidate’s skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
